Stepford Group Ltd delivers civil engineering and infrastructure works for local authorities across Scotland. Our workload includes streetworks, roadworks, drainage, public realm and streetscape projects, street lighting, bridge maintenance and road surfacing schemes.
Due to the continued growth of the business, we are looking to appoint a Business Administrator to support the day-to-day running of our Motherwell office.
The Role
This is an entry-level opportunity for an organised, approachable and reliable person who would like to begin or develop a career in business administration. The successful applicant will be one of the first points of contact for clients, suppliers, visitors and employees. They will provide general administrative support across the business and help ensure that the office operates professionally and efficiently. Full training will be provided, making the position suitable for someone beginning their office career or moving into an administrative role.
Typical duties will include:
· Answering incoming telephone calls, taking accurate messages and directing enquiries to the appropriate person.
· Welcoming visitors, clients, suppliers and employees to the office.
· Monitoring general email inboxes and forwarding correspondence as required.
· Receiving, sorting and distributing incoming post and deliveries.
· Preparing letters, forms, spreadsheets and other routine business documents.
· Scanning, filing and maintaining electronic and paper records.
· Carrying out data entry and updating company registers and administrative systems.
· Assisting with printing, document preparation and the collation of tender, project and compliance information.
· Maintaining office supplies and placing orders for stationery and general office requirements.
· Keeping the reception area, meeting rooms and shared office spaces presentable.
· Assisting with meeting arrangements, refreshments and visitor requirements.
· Providing general administrative support to the management, commercial, finance and operational teams.
· Undertaking other reasonable administrative duties required to support the business.
Requirements
· A professional, friendly and confident telephone manner.
· Good written and verbal communication skills.
· A polite and welcoming approach when dealing with visitors and callers.
· Good organisational skills and attention to detail.
· Ability to follow instructions and complete routine tasks accurately.
· Knowledge of computer systems.
· Ability to manage several small tasks and prioritise work appropriately.
· Reliable, punctual and willing to learn.
· Ability to handle business information professionally and confidentially.
Previous office or administrative experience would be helpful but is not essential, as full training and support will be provided.
