Westfield Fasteners Ltd – Administrative Assistant
We are looking for a highly organised and proactive Administrative Assistant to join our growing team and play an important role in supporting the smooth and efficient running of the business.
Westfield Fasteners Ltd is a leading UK fastener supplier operating within the hardware industry, distributing and retailing fasteners to customers worldwide, primarily through our e-commerce platform. Working closely with our management teams, this role provides broad exposure to the day-to-day workings of a growing business and an opportunity to develop a wide range of administrative and commercial skills.
The successful candidate will be organised, proactive and detail-focused, with the ability to manage multiple priorities in a busy environment. You will be self-motivated, professional and approachable, with a positive attitude and a genuine willingness to learn.
The role involves regular communication with colleagues, suppliers, couriers and other businesses, both by telephone and email. You will therefore need to be confident communicating clearly, professionally and courteously, both verbally and in writing.

A high level of discretion and professionalism is also required, as you will have access to personal and commercially sensitive information.

Job purpose
To provide reliable and effective administrative support to the various management teams, working both independently and as part of a team to help ensure the smooth and efficient day-to-day running of the business.
The role is varied and involves supporting different areas of the company, requiring the ability to prioritise tasks, work accurately and adapt to changing requirements.
Job description and duties
The role will involve a variety of administrative responsibilities across the business, including:
- Supporting the Sales and Customer Service teams with a variety of administrative tasks.
- Liaising and communicating with suppliers and couriers.
- Assisting with invoicing and basic bookkeeping tasks to support financial processes.
- Accurately entering data into company systems and maintaining reliable records.
- Supporting the HR function, including maintaining staff records and assisting with the recruitment and onboarding of new employees.
- Completing supplier questionnaires and other business documentation.
- Managing incoming and outgoing post.
- Documenting, organising and maintaining company procedures.
- Archiving and maintaining accurate filing systems.
- Assisting with the general organisation and upkeep of the office.
- Learning to operate the company's bespoke computer systems.
- Carrying out ad-hoc administrative tasks and supporting other areas of the business as required.
- Contributing to the continued growth and development of Westfield Fasteners.
Experience and skills
Essential:
- Previous experience in an administrative, office support or similar role.
- Good working knowledge of standard office procedures and equipment.
- Good written and verbal communication skills.
- Strong attention to detail and accurate data entry.
- Good general IT skills and the ability to learn new computer systems.
Desirable:
- Previous experience in e-commerce customer service.
- Experience working with suppliers, couriers or other external businesses.
- Previous knowledge or experience within the hardware/fastener industry.
- Experience with invoicing, bookkeeping or other financial administration.
- Experience supporting HR or recruitment administration.

Salary: £26,500–£27,000 per annum, depending on experience and skills.
