Oakhill Estate Agents is looking for an experienced Lettings Coordinator to join our busy lettings team.
This is an important role within the department, taking responsibility for the administration and progression of tenancies from the point a deal is agreed through to the tenant moving in, while also supporting our landlords and existing tenancy portfolio.
We operate in a fast-paced environment, so we are looking for somebody who is exceptionally organised, confident using technology and able to manage a large workload without compromising on customer service.
Key Responsibilities
- Managing all pre-tenancy deal progression from agreed offer through to move-in
- Preparing and issuing tenancy agreements and associated legal documentation
- Coordinating referencing, compliance requirements and move-in arrangements
- Arranging required services and works for landlords prior to the start of a tenancy
- Keeping landlords and tenants regularly updated throughout the process
- Dealing with rent reviews and ensuring they are progressed correctly
- Monitoring and chasing rental arrears
- Handling notices to vacate and the associated tenancy administration
- Maintaining accurate records and ensuring all tenancy documentation is completed correctly
- Working closely with the Lettings Manager, negotiators and Property Management team
- Providing an excellent level of customer service to landlords and tenants
- Keeping up to date with changes within the private rented sector, including the Renters' Rights Act
What We're Looking For
Previous experience working within residential lettings is essential.
You will need to be:
- Extremely organised with strong attention to detail
- Comfortable working at a fast pace and managing multiple tenancies simultaneously
- Highly computer literate and confident learning new systems
- A strong communicator both over the telephone and by email
- Confident dealing with landlords, tenants and contractors
- Knowledgeable about the lettings process and current legislation
- Proactive and able to prioritise your own workload
- Professional, reliable and customer-focused
The Role
This is a full-time, office-based position, working:
Monday to Friday – 8:45am to 5:30pm
The position does not require regular driving and no company car is provided.
Full training will be provided on our internal systems, processes and procedures to ensure a smooth transition into the role.

Pay: £30,000.00-£35,000.00 per year
