OVERVIEW
Oxbury is a professional practice of Chartered Surveyors looking for a versatile Administrator, ideally with Quality Assurance experience, to join our friendly team. We anticipate the role being for 15 hours per week (9.30am – 2.30pm over 3 days), but this is open for discussion and we will agree hours and working pattern with the successful candidate. The role is predominantly office based but occasional remote working in available.
Salary: £26,000 - £30,000 depending on experience (pro rata to agreed working hours)
DUTIES
General Administration and Facilities Management
- General secretarial support – copy and audio typing of letters, invoices and minutes; diary management; booking meetings, travel and training events etc.
- Ordering office supplies and stationery.
- Getting quotes and reviewing proposals from office and service suppliers.
- Liaising with suppliers for facilities maintenance and repairs.
- Responsible for day-to-day office Health & Safety (with support from the Practice Manager)
- Liaison with IT Consultants to resolve issues.
- Bookings for staff and client events.
- General duties such as shopping, preparation of refreshments for meetings, and postage as required
QA Administration for ISO9001(training can be given as required)
- Document checks, monitoring and ensuring compliance with processes.
- Issue and evaluation of client feedback questionnaires.
- Completing scheme final sign off audits
- Maintaining Process Flow documents and conducting internal process audits.
- Meeting with external Auditor for audit visits
- Inducting new staff in relation to QA and administrative processes
- Contributing to Management Review Meetings.
SKILLS REQUIRED
- Prior experience in an Administrative or Secretarial role.
- Confidence using Microsoft Office software and copy / audio typing to produce documents, invoices and spreadsheets.
- Ability to learn and use company specific software systems (document management, invoicing etc)
- Ability to organise your time and workload to prioritise tasks and meet deadlines.
- Excellent communication and inter-personal skills both face-to-face and on the telephone.
- A high standard of written and spoken English and numeracy.
- Flexibility and a willingness to take on other tasks as required
- Experience organising meetings and small social events.
- In addition if you have experience working with Quality Assurance systems that would be ideal, but is not essential.
Pay: £26,000.00-£30,000.00 per year
