Job summary
We are looking for a part-time Practice Manager to join Headstone Lane Medical Centre, a small yet dedicated practice serving a patient population of approximately 3,700. The ideal candidate will bring prior experience working in general practice.
We are looking for a dynamic and resourceful manager with strong interpersonal skills to lead the practice and support its future growth.
Main duties
1. Appointment and Session Management
- Create and manage appointment sessions.
- Edit sessions as and when needed
2. Staff Management and HR
- Managing staff rota, ensuring reception cover is maintained.
- Delegate work to administrative staff to meet QOF and enhanced services.
- Conduct staff appraisals.
- Handle HR processes for staff joining or leaving.
- Oversee and evaluate staff induction and training, ensuring that all staff are adequately trained to fulfil their role.
- Maintain the training matrix for all staff
- Set up user logins and passwords, and create new user accounts for systems such as EMIS, ICE, Docman, Windows, etc.
- Manage smartcard setup/issues as needed.
3. Meetings and Communication
- Organise and coordinate monthly practice meetings.
- Attend all practice management-related meetings, including PCN meetings, NWL meetings, and practice forums.
- Coordinate PPG (Patient Participation Group) meetings, including minuting and actioning outcomes
4. Regulatory Compliance and Standards
- Ensure the practice is running at CQC standards.
- Develop, review, and update practice protocols, policies, and procedures as required, ensuring they remain aligned with CQC standards.
- Manage the MEG tool for infection control.
- Ensure the practice is compliant with health and safety and keeps up to date with current legislation. Ensure the practice has adequate business continuity plans in place.
- Submit data security toolkit yearly.
- Complete annual self-declaration.
5. Quality and Service Management
- Oversee QOF and ensure targets are met.
- Manage enhanced services to ensure activities are completed and achieved within the financial year.
- Ensure NWL DES programs are printed and actioned.
6. IT and Systems Management
- Maintain and update the practice website, including publishing quarterly newsletters.
- Manage user logins, passwords, and smartcard setup for various systems (EMIS, ICE, Docman, etc.).
- Handle and oversee all workflow tasks
- Registrations, including deduction, GP2GP activity, and Summary Care Record (SCR).
7. Complaint and Query Handling
- Handle complaints and queries that fall outside the remit of the administrative staff.
8. Data Management and Reporting
- Update and maintain the safeguarding spreadsheet.
- Update the cervical screening spreadsheet.
- Submit quarterly claims.
- E-declaration with NHS Digital.
9. Patient Access and Records
- Manage patient requests for online access and proxy access to medical records.
- Ensure GP2GP, SCR, and other registration activities are processed accurately.
10. Immunisation and Vaccination Management
- Manage vaccines and immunisations, including flu season, children's immunisations, shingles, pneumococcal, and RSV etc

Salary: £16 per hour depending on experience
