Office Co-Ordinator – Facilities Management

Due to continued growth, we are looking for an organised, proactive and customer-focused Facilities Support Administrator to join our expanding team.

Salary: £26,000 – £29,000 per annum (depending on experience)
The Role
This is a key administrative position within our Facilities Management team, working closely with the Head of Facilities and supporting the wider operations team.
As one of the first points of contact for our clients, you will help ensure maintenance requests are logged accurately, customer enquiries are handled professionally, and the office operates efficiently. You will also provide administrative support to assist with the day-to-day running of our Mechanical & Electrical (M&E) operations.
Responsibilities
- Provide day-to-day administrative support to the Head of Facilities.
- Act as the first point of contact for customer enquiries via telephone and email.
- Log work requests accurately onto our job management system.
- Create, issue and update work orders and job records.
- Prepare purchase orders and general correspondence.
- Handle incoming enquiries and direct them to the appropriate department.
- Maintain accurate customer, supplier and job records.
- Assist with compliance administration and document management.
- Support the administration of subcontractors and supplier documentation.
- Manage the company vehicle fleet, including servicing schedules, MOTs, maintenance records, inspections, fuel cards and vehicle documentation.
- Assist with general office administration to support the wider business.
Skills & Experience
To be successful in this role you should have:
- Excellent organisational skills with exceptional attention to detail.
- Strong Microsoft Office skills, particularly Outlook, Excel and Word.
- Experience using a job management system (Simpro experience is advantageous but not essential).
- Excellent communication and customer service skills.
- The ability to prioritise workload and work effectively under pressure.
- A logical approach to problem solving.
- Previous administration experience within the Mechanical & Electrical (M&E), Facilities Management, Construction or Engineering sectors would be advantageous.
- Experience managing company fleet administration would also be beneficial.
