Job summary
To support the Psychology Service in the development, delivery, and maintenance of a high-quality administrative function. This includes reviewing and enhancing administrative processes to optimise workflows, improve efficiency, and maximise clinical capacity.
To coordinate administrative support to clinicians and other non-medical staff. This would also include being the primary point of contact for external and internal queries, ensuring all communications are handled in line with information governance processes.
To develop and maintain Senior Leadership Teams diaries, maintain effective filing systems and co-ordinate and organise arrangements for a variety of meetings both internal and external of the Trust, taking and transcribing minutes of formal meetings as necessary.
To actively participate in the development and implementation of information systems with accurate and timely data collection and reporting, taking responsibility for the quality of the data, reporting to the Data Custodian any issues around quality.
Coordinate and oversee the processing of new referrals, ensuring accurate and timely data entry and adherence to Rio processes. Liaise with Rio teams regarding system processes and issues, and provide comprehensive administrative support for the management and monitoring of waiting lists.
Please note this is a part time position for 28.5 hours per week.

Main duties, tasks & skills required
Ensure all patient records are managed in compliance with data protection and information governance policies.
Ensure the regular review, monitoring, and reporting of Insights data to support service performance, including monitoring mandatory training compliance, clinical record compliance, waiting times, and other key performance indicators.
To promote shared learning, consistency of practice, and compliance with organisational policies, procedures, and statutory guidelines. To review, develop, and implement administrative procedures, ensuring that Standard Operating Procedures (SOPs) are adhered to across all teams.
Develop, operate and supervise the complete secretarial support and administrative service within the team, including typing of correspondence, filing, emails, photocopying, entering and reading data, and composition of letters and creation of spreadsheets.
