Fundraising Events Executive
Location: The Twickenham Stoop, London (hybrid working: four days office-based, one day remote)
Contract: Permanent
Working Pattern: Full-time, with flexibility to work weekends and occasional evenings to support matchday and event commitments.
Purpose of the role
The Fundraising Events Executive will support the planning, coordination and delivery of the Harlequins Foundation events programme, helping to create engaging, high-quality experiences that raise awareness, strengthen stakeholder relationships and create fundraising opportunities to support our work. The Event executive will act as first point of contact for our supporters and fundraisers and have responsibility for administrative support and stewardship.
Working closely with the Head of Programmes, Partnerships and Events and the Partnerships Manager, the Events Executive will play a central role in the delivery of a diverse range of events – ensuring they are delivered professionally, safely and efficiently. The role will contribute to driving both engagement with our supporters and fundraising, while ensuring all events reflect our organisational values and demonstrate the impact of the Harlequins Foundation.
This is a hands-on role suited to a highly organised, proactive and people-focused individual who is as comfortable supporting event delivery on the ground as they are managing the planning and administration behind the scenes. We are looking for someone who thrives in a fast-paced environment and is passionate about creating exceptional experiences for supporters, participants, partners and the wider community.
Successful candidate must have willingness to work weekends due to matchday and wider event commitments.
Key Responsibilities
· Assist in the planning and delivery of a range of events, including owned fundraising events and third-party activity ensuring they are delivered to a high standard.
· Manage event logistics including venues, suppliers, equipment, communications and on-the-day delivery, ensuring everything runs efficiently and professionally.
· Act as a key point of contact for participants and supporters, responding to queries and ensuring a positive and engaging experience from sign-up through to post-event follow-up.
· Coordinate and deliver Foundation activity at Big Game and Big Summer Kick Off fixtures including silent auction - working with staff, volunteers and partners as required.
· Keep supporter and event data up to date in relevant systems, supporting reporting, stewardship and ongoing engagement.
· Work with the marketing team to support the promotion of events, helping to drive participation and maximise engagement.
· Responsible for researching potential new event opportunities.
· Gather feedback and insights from events to help improve future delivery and supporter experience.
Person Specification
Qualifications and Experience
· Experience supporting or delivering events, ideally in a charity, sports or community setting.
· Understanding of customer or supporter service and engagement.
· Experience coordinating volunteers.
· Experience working with ambassadors/ legends/ players.
Skills, abilities, and knowledge
· Highly organised with strong attention to detail.
· Strong communication and interpersonal skills.
· Proactive and willing to get stuck in, with a positive and flexible approach.
· Able to manage multiple tasks and deadlines in a fast-paced environment.
· Experience using CRM systems e.g. Salesforce.
· A team player who enjoys working collaboratively.
