Part-Time Receptionist / Private Client Administrator
(3 Days per Week)

Hours: Hours: 3 days per week. Friday is required, with the other 2 days negotiable.

About the Role
Gould & Swayne Solicitors are seeking a friendly, professional and organised Receptionist / Private Client Administrator to join our busy and welcoming team on a part-time basis.
This varied role combines front-of-house reception duties with administrative support for our Private Client Department, assisting with matters including Wills, Probate, Lasting Powers of Attorney (LPAs) and Estate Administration.
The successful candidate will be the first point of contact for clients and visitors, providing excellent customer service whilst supporting fee earners with the smooth administration of client matters.
Key Responsibilities
Reception & Client Care
- Welcoming clients and visitors to the office in a professional and courteous manner.
- Managing incoming telephone calls and directing enquiries appropriately.
- Taking accurate messages and ensuring prompt communication with colleagues.
- Handling general client enquiries both in person and by telephone.
- Maintaining a professional and efficient reception area.
Administrative Support
- Assisting fee earners with administrative tasks relating to Private Client matters.
- Preparing, formatting and processing legal documents and correspondence.
- Opening, maintaining and closing client files in accordance with firm procedures.
- Scanning, filing, photocopying and archiving documents.
- Data entry and updating client records on the firm's case management system.
- Assisting with diary management, appointments and meeting arrangements where required.
Systems & Compliance
- Using case management software, Microsoft Office and digital systems effectively.
- Ensuring client information is handled confidentially and in accordance with data protection requirements.
- Following firm policies, procedures and regulatory requirements.
Skills & Experience
Essential
- Excellent communication and interpersonal skills.
- Professional and confident telephone manner.
- Strong IT skills, including Microsoft Office applications.
- Good organisational skills and attention to detail.
- Ability to work independently and manage a varied workload.
- Friendly, approachable and professional attitude.
- Previous reception, customer service or administrative experience.
Desirable
- Experience within a legal, professional services or office environment.
- Familiarity with case management systems.
- Previous experience supporting a Private Client team.
