This is a new role to support our growing team of experts. Working alongside our established Business Coordinator, you will share responsibility for the day-to-day running of the office, supporting our technical experts, and acting as a key point of contact for clients, suppliers and colleagues. Together, you will provide administrative, operational and accounts support, helping to ensure everything runs efficiently behind the scenes.
The successful candidate will be confident managing multiple priorities, communicating with clients and suppliers, and taking ownership of a wide range of business support activities. This role offers an excellent opportunity for someone who enjoys variety and takes pride in delivering an efficient, high-quality service.
Duties and responsibilities
Operations and Administration
- Act as a key point of contact for clients, suppliers and colleagues, handling enquiries by phone, email and post.
- Provide administrative and diary support to the technical experts, including booking in and allocating incoming work.
- Maintain accurate paper and electronic filing systems, including client files, correspondence, records and document libraries.
- Support the smooth running of the office, including reception duties, office supplies, meeting preparation, travel arrangements and general facilities support.
- Prepare and maintain business records, spreadsheets and management information, including monthly reporting and year-end analysis.
- Coordinate customer onboarding information, applications, client mailers and CRM records.
- Liaise with external suppliers and contractors, including IT support, equipment hire, laboratory services and literature/document requests.
- Maintain company records including professional body memberships, expert witness contact information and library/catalogue records.
- Support company communications, including adding LinkedIn posts to the company profile when required.
Accounts and Billing
- Credit control (including calling clients)
- Raise invoices for services provided by the company
- Deal with invoice enquiries
- Process payments
- Provide cover/support to Accounts team including using Sage as necessary
Person specification
We are looking for someone who is organised, proactive and enjoys being part of a small, supportive team. Whilst experience and qualifications are important, we place just as much value on your attitude, reliability and ability to provide excellent support to our team and clients. The role would suit someone with a background in legal secretarial work, practice management, or a similar professional support position.
Essential requirements and skills:
- A minimum of 2 years' experience working in a professional office environment
- A minimum of Level 2 English and Maths (or equivalent)
- Good IT skills including Microsoft Office
- Excellent organisational skills with the ability to manage multiple priorities and meet deadlines
- Professional and customer-focused when dealing with people
- A confident and professional communicator (both verbally and in writing)
- An excellent eye for detail and a high level of accuracy
Hours and salary
- Full time (Monday- Friday 9am-5pm)
- Salary commensurate with experience plus 10% on target bonus
- 5% employer pension contributions
- 24 days annual leave plus bank holidays with one additional day per year of service (up to 30) and the option to purchase additional annual leave entitlement (to a maximum of 35 days per year)
