Hours: Monday to Friday, 08:30–16:30

The Men’s Health Clinic is seeking a warm, organised and motivated Clinical Administrator to join our growing team.

The Men’s Health Clinic is a doctor-led, CQC-registered private medical clinic in Ferndown, Dorset. Since 2016, we have specialised in diagnosing and managing Testosterone Deficiency through Testosterone Replacement Therapy (TRT), alongside specialist female Hormone Replacement Therapy (HRT).
We take a whole-person approach, recognising the importance of lifestyle, nutrition, exercise and mindset alongside medical treatment. Patients are supported at our Dorset clinic, remotely across the UK and internationally.

The Role
As a Clinical Administrator, you will combine patient-facing administration with practical clinical support. You will be one of the first people patients speak to and will continue supporting them throughout their journey.
Your calm, friendly and organised approach will help patients feel informed and reassured, while your attention to detail will support the safe and efficient running of the clinic.
You will report to the Clinical Administration Manager and work closely with doctors, management and colleagues across the clinic.
Key Responsibilities
Patient Administration and Support
- Welcoming patients and providing a professional front-of-house service.
- Managing telephone and email enquiries clearly and professionally.
- Booking and coordinating new patient, follow-up, telephone and other appointments.
- Supporting patients with the administrative aspects of diagnostic and treatment pathways.
- Maintaining accurate patient records and preparing correspondence.
- Processing payments in clinic and by telephone.
- Supporting patients during the early stages of treatment.
- Recognising queries requiring clinical or management input and escalating them appropriately.
Blood Testing and Laboratory Administration
- Coordinating in-clinic and external blood tests and providing relevant patient information.
- Processing laboratory requests and maintaining accurate records.
- Centrifuging, preparing, packaging and safely dispatching blood samples in accordance with clinic procedures.
- Monitoring outstanding results and assisting with their administrative processing.
- Liaising with laboratories, couriers and other providers to resolve queries.
Medication Administration
- Dispensing authorised medication in accordance with clinic procedures.
- Maintaining dispensing records, including batch numbers and expiry dates.
- Assisting with medication stock checks and reconciliation.
- Escalating prescription, dispensing, stock or medication queries appropriately.
- Following procedures supporting safe medicines management.
In-Clinic and Team Support
- Performing body composition assessments using the InBody 770 research-grade body composition analyser, following training.
- Preparing consultation rooms and supporting the smooth running of clinics.
- Assisting doctors and the wider clinical team with appropriate administrative and operational tasks.
- Maintaining a clean, organised and patient-focused environment.
- Working collaboratively and supporting colleagues during busy periods.
- Following policies relating to confidentiality, information governance, safeguarding, health and safety, medicines management and incident reporting.
- Completing required training, attending team meetings and contributing to service improvement.
- Undertaking other reasonable duties consistent with the role.
About You
You will be approachable, dependable and committed to providing an excellent patient experience. You should be confident communicating by telephone, email and face-to-face, including with patients who may be anxious or require additional reassurance.
You will also be organised and able to manage a varied workload accurately. In a regulated healthcare environment, you will understand the importance of confidentiality, discretion and attention to detail.
Essential
- Previous administrative experience in healthcare, medicine or another professional environment.
- Excellent verbal and written communication skills.
- A warm, professional and approachable manner.
- Strong organisation, prioritisation and attention to detail.
- Confidence using computer-based administrative systems.
- Ability to work independently and as part of a team.
- Ability to follow policies, procedures and clinical administration processes.
- Understanding of confidentiality and discretion when handling sensitive information.
- A proactive approach to resolving administrative issues.
- Willingness to learn about the clinic’s services and treatment pathways.
- Flexibility and willingness to support colleagues during busy periods.
- Genuine interest in providing excellent patient service.
Experience in private healthcare, primary care or another patient-facing healthcare setting is advantageous but not essential. Full training will be provided for clinic-specific duties.
The successful applicant will be required to complete an appropriate DBS check before commencing employment.

Monday to Friday, 08:30–16:30
This is a clinic-based position at our Ferndown premises, so applicants must be able to commute reliably.
