Role Purpose
The Inbound Administrator will play a key role in ensuring the smooth flow of inbound deliveries across Lemonpath's warehousing network. The role is responsible for managing delivery bookings, inbound reporting, supplier compliance, non-conformance management and supporting operational planning.
Working closely with Operations, Customer Services and Clients, the successful candidate will ensure inbound deliveries are processed efficiently, accurately and in line with client expectations and operational requirements.
Role responsiblities:
Inbound Planning & Bookings
- Manage all inbound delivery bookings across multiple warehouse locations.
- Ensure bookings are scheduled in line with warehouse capacity and resource availability.
- Maintain accurate booking records and communicate changes to relevant stakeholders.
- Monitor expected deliveries and proactively escalate potential issues.
Inbound Compliance
- Review inbound deliveries against customer requirements and booking procedures.
- Record and investigate inbound non-conformances.
- Produce detailed non-conformance reports including photographic evidence where required.
- Liaise with customers regarding supplier compliance issues.
- Support the implementation and management of Lemonpath's inbound compliance programme.
Customer Service
- Act as a key point of contact for inbound-related customer queries.
- Ensure all inbound reports and documentation are completed accurately and on time.
- Communicate delays, shortages, damages and discrepancies professionally and promptly.
- Build positive working relationships with customers, suppliers and internal teams.
Operational Support
- Track inbound KPIs and provide daily and weekly reports.
- Monitor inbound workload and highlight capacity concerns.
- Support Warehouse, Customer Service and Transport functions as required.
- Assist with stock investigations and receipt discrepancies.
Health & Safety
- Manage the flow of inbound and outbound drivers on site.
- Ensure all visitors and drivers comply with site safety procedures.
- Support site Health & Safety initiatives and continuous improvement activities.
Administration & Reporting
- Maintain accurate records to support traceability and audit requirements.
- Produce daily, weekly and monthly inbound performance reports.
- Support data analysis and identify trends relating to supplier performance and compliance.
Key Skills & ExperienceEssential
- Previous administration experience.
- Strong Microsoft Excel skills.
- Excellent attention to detail.
- Strong communication and organisational skills.
- Ability to prioritise workload and work under pressure.
- Confidence communicating with customers and suppliers.
- Accurate data entry and reporting skills.
Desirable
- Experience within a logistics, warehousing or supply chain environment (min 1yr).
- Experience managing bookings or transport scheduling.
- Experience investigating non-conformances or operational issues.
- Knowledge of warehouse management systems (WMS).
