Community Shop Manager (Part-time)
Benarty Community Shop, based in Ballingry, Fife. Has been serving the community for almost nine years. Due to retirement, we are seeking to appoint a new Community Shop Manager. This is a part time post of 21 hours per week, with a rate of pay of £16.00 per hour. The closing date for applications is Friday, 10th July. The Manager reports to Benarty Community Forum and will provide monthly and annual updates on shop performance, activities, finance and community engagement.
Role Purpose
The Community Shop Manager will oversee the day to day running of the shop, ensuring the shop is well organised, financially responsible, welcoming and supportive of both volunteers and staff. The successful candidate will lead and coordinate volunteers, maintain high standards of customer service and foster a positive culture of wellbeing, inclusivity and community spirit. Applicants must have experience in retail shop management and in supervising or leading a team.

Key Responsibilities
Shop Operations
- Open and close the shop safely and securely.
- Ensure the shop is organised, clean and presented to a high standard.
- Balance and reconcile the till at the end of each trading day.
- Maintain effective stock control systems.
- Organise and manage the rotation, pricing and display of stock.
- Procure all items required for the smooth running of the shop.
- Ensure all shop procedures and policies are implemented and maintained.
Volunteer & Staff Management
- Recruit, support, supervise and coordinate volunteers and staff.
- Prepare volunteer/staff rotas and ensure adequate cover.
- Provide induction, guidance and ongoing support for volunteers.
- Ensure all staff and volunteers are suitably trained and competent in carrying out their duties.
- Arrange and procure relevant training opportunities and courses.
- Promote teamwork, inclusion, wellbeing and community spirit at all times.
Health & Safety
- Take responsibility for the health, safety and welfare of staff, volunteers, customers and visitors.
- Ensure compliance with all health and safety regulations and charity policies.
- Maintain a safe working environment and report any concerns appropriately.
Financial & Administrative Duties
- Complete monthly and yearly reports for the Benarty Community Forum.
- Assist with the preparation and completion of yearly accounts for the shop and Forum.
- Ensure sound financial procedures are followed, including handling cash, banking and payments to suppliers.
- Maintain accurate shop records, stock records and financial documentation.
Community Engagement
- Liaise with local groups, schools and outside agencies regarding work placements, projects and community activities.
- Support and promote the shop through social media and local community engagement.
- Encourage participation and positive relationships within the local community.
General Duties
- Undertake any other reasonable duties required to support the successful operation of the charity/community shop.
Person Specification
Essential Skills & Experience
- Experience in retail, charity retail or community-based work.
- Experience managing or supervising staff and/or volunteers.
- Good organisational and communication skills.
- Ability to work independently and as part of a team.
- Basic financial and administrative skills.
- Good understanding of customer service.
- Commitment to equality, inclusion and community wellbeing.
- Experience in Microsoft packages (excel, word)
Desirable
- Knowledge of health and safety procedures.
- Experience using social media for business or community promotion.
- First Aid or relevant training certificates.
- Experience in using financial IT systems (i.e. ExpensePlus)
- Experience of working with a range of people with diverse social and personal skills and needs.
