Job Title: Data & Compliance Administrator

Salary: £10,574.72 - £13,218.40 per annum
About the Role
We are looking for a Data & Compliance Administrator to join our team and play a vital role in supporting administrative, enrolment, and compliance activities across our funded provision.
This role is central to ensuring learner data is accurate, secure, and compliant with funding body, awarding body, and regulatory requirements. You will work closely with internal teams, learners, and external stakeholders, ensuring a high standard of customer service and data integrity throughout the learner journey.
Key Responsibilities - Quality, Compliance & Data Management
- Maintain, monitor, and update learner records across internal data systems, ensuring accuracy and compliance with funding rules.
- Ensure learner eligibility requirements are met and fully evidenced in line with funding and audit expectations.
- Accurately enter and maintain learner data in MIS/CRM systems in line with UK GDPR and the Data Protection Act 2018.
- Ensure data completeness for funding and audit purposes.
- Support audit activity from funding and awarding bodies.
Enrolment & Administration
- Manage enrolment and administration mailboxes, responding to queries in a timely, professional, and accurate manner.
- Request, verify, and process enrolment documentation (ID, residency, employment, prior attainment).
- Create and maintain learner records throughout pre-enrolment and the learner journey.
- Complete remote enrolments professionally and within agreed timeframes.
- Book enrolment appointments, inductions, and follow-up meetings as required.
- Ensure enrolment tasks are completed within set timescales and resolve outstanding actions.
Learner & Stakeholder Support
- Provide clear guidance on enrolment processes, course options, next steps, and timelines.
- Signpost learners to academic, funding, or support services where appropriate.
- Support vulnerable learners and those with ALN/ASN, referring to specialist support teams when required.
- Build strong working relationships with internal teams, lead providers, and external stakeholders.
General & Professional Responsibilities
- Use digital onboarding tools (e-forms, e-signatures, document uploads) to streamline enrolment processes.
- Demonstrate flexibility and agility in responding to changing priorities.

About You
Essential:
- Strong administrative experience with excellent attention to detail
- Experience working with data systems (MIS/CRM)
- Ability to manage multiple tasks and meet deadlines
- Confident communicator with strong customer service skills
- Good understanding of data protection and confidentiality
- Comfortable working autonomously and using digital systems
Desirable:
- Experience in education, training, or funded provision
- Knowledge of learner funding rules and compliance requirements
- Experience with audits or awarding body processes
- Experience supporting learners with additional learning needs
