About the Role
We are an established medical aesthetic skin and laser clinic seeking a professional, organised, and welcoming Clinic Receptionist to join our team. As the first point of contact for our patients, you will play a vital role in ensuring the smooth operation of our office environment and delivering an exceptional, seamless customer experience.
This role beautifully combines traditional medical reception duties with high-end patient care, managing everything from initial inquiries to daily clinic administration. Working Hours & Shift Pattern
This is a structured part-time role requiring the following standard hours:
- Thursdays: 9:00 AM – 7:00 PM
- Fridays: 9:00 AM – 5:00 PM
Key Responsibilities
- Patient Experience: Greet patients and visitors warmly, manage check-ins/check-outs, and maintain a calm, clean, and professional front-of-house environment.
- Communication: Manage incoming and outbound telephone calls, emails, and correspondence promptly, effectively, and with close attention to detail.
- Booking & Journey Management: Manage patient journeys using our specialised clinic booking system, accurately scheduling appointments and handling payments.
- Clinic Administration: Support daily operations, including general filing, data entry, stock ordering, maintaining patient records, and document preparation.
- Team Support: Assist team members with various administrative tasks as needed to facilitate smooth communication across the clinic.
- Confidentiality: Ensure strict confidentiality and data privacy regarding sensitive patient information at all times.
Candidate Profile
Essential Criteria
- Experience: A proven track record working as a receptionist or in a dedicated front-of-house/administrative role.
- Technical Skills: Strong proficiency in Microsoft Office packages (Word, Excel, Outlook) and confidence in learning and navigating digital booking systems.
- Qualifications: GCSEs (or equivalent) including English and Maths.
- Attributes: Excellent verbal and written communication skills, a professional telephone manner, and a friendly, approachable demeanour.
- Work Ethic: Reliable, highly organised, and able to multitask effectively in a fast-paced environment with a proactive attitude.
Desirable Criteria
- Experience working within a medical, clinical, or medical aesthetic environment.
- Familiarity with clinic-specific software.
- NVQ / Level 2 or 3 in Business Administration / Customer Service.
- Understanding of Care Quality Commission (CQC) Standards.
