PROPERTY MANAGEMENT ASSISTANT IN SUTTON, SURREY (MATERNITY COVER)

Property Management Assistant
The role is to provide support to the Block Management Division, and assisting the Property Managers with an allocated portfolio. The role will include, but not be limited to:
- Assisting Property Managers with incoming phone calls.
- Assisting Property Managers with day-to-day tasks, including typing of correspondence, liaising with Lessees and contractors, and following up on issues.
- Monitoring and administering e-mails.
- Logging and managing maintenance issues, instruct repairs and track completion.
- Completing mail merges and issuing required circulars and communications.
- Maintaining the Contractor List including checking and following up on insurance details and other certification.
- Gaining an understanding of the major works process and assisting with the Section 20 Notice requirements.
- Assisting with filing/scanning.
- Assisting with insurance claims.
- Any other support or assistance to the Block Management team.
- Undertaking occasional additional duties or providing support in other areas of the business including supporting the Co-Directors as required.
The ideal candidate will have a professional and “can-do” attitude, be self-motivated, flexible and be able to prioritise, multi-task and meet deadlines. The applicant will have excellent organisational abilities, a good eye for detail, coupled with strong software skills, particularly in Word, Excel and Outlook. Good written and verbal communication skills and the ability to interact well with clients, all levels of staff and other external contacts are essential. Knowledge of the residential block management industry would be an advantage.
Hours are Monday to Friday, 9.00am – 5.30pm, with one hour formal lunch break. The role is office-based.
