Role overview
The Investment Administrator’s primary function is to provide administration service support to the Bespoke team, managing the coordination and administration of all client related queries ensuring best practice is delivered without exception. They will report directly into the two investment directors responsible for the clients. You will also commence or continue your study to enable you to develop into a junior investment manager. This will involve you undertaking the CISI or CFA exam program over a three to four year period.
Key responsibilities
Service Levels & Positive Client Outcomes
- Deliver levels of service expected by High Net Worth clients including assisting in the regular assessment and reporting of any change in client circumstances & suitability factors
- Provide a high quality service when transferring new clients into the firm, liaising with all administrative departments within TrinityBridge to deliver a seamless transition
- Ensure external and third party client payments are processed in timely and efficient manner
- Produce automated investment reports ahead of client meetings
- Ensure adequate record keeping of client correspondence and conversations
- Liaise directly with clients over administrative matters
- Provide excellent client service to ensure zero incidents and complaints
- Consistently follow processes and ensure a great experience for the client
- Provide general administration support for investment directors
- Gather and assist in the production of suitability documentation and ensure reviews are completed as required according to individual client agreements
- Proactively seek to improve on processes and procedures within the scope of this role, challenging where required and taking an active role in their own continuous learning.
- During your study seek to understand the investment framework at TrinityBridge, along with the relevant risk profiles and client suitability when assessing a client’s portfolio

Regulatory responsibilities | Compliance/T&C
- Ability to demonstrate an understanding of the regulatory framework relevant to the role, whilst practising effective risk management taking account of outcomes for clients.
- Understand, follow and demonstrate compliance with all relevant internal and external rules, regulations and procedures that apply to the conduct of the business. Follow principles and rules of the Financial Conduct Authority (FCA) and the internal requirements set out in the Compliance Manual, local and Group Compliance and Risk policies.
- Gather relevant AML documentation from new clients and complete detailed source of wealth, client risk rating and enhance due diligence where applicable in accordance with TrinityBridge Due Diligence Standards and AML QA Procedures
- Complete client due diligence reviews and triggers in accordance with AML QA Procedures
- Ensure adherence to the Client and Third Party Payment procedures
- Comply with the PA dealing policy
- Ensure required training is kept up to date and completed within the set timeframe given by TrinityBridge
- Comply with/Ensure adherence to the Gifts and Hospitality Policy and Expenses policy
- Ensure all client conversations are in line with FCA recording requirements
- Comply with office Health and Safety and Fire Safety Procedures
About you | Qualifications, skills and strengths
- Experience in a client facing Investment services administration role preferable but not essential
- Strong communication and interpersonal skills (verbal and written)
- Strong interest in finance, economics and companies
- Excellent organisational skills and attention to detail
- Resilient and reliable team player willing to respond and support various external and internal requests
- Excellent record keeping and reporting capabilities
- Ability to work to tight deadlines with consistent accuracy and willing to help and assist to get the right client outcome
- Numerate with strong IT and MS Office skills: Word (intermediate level), Excel (intermediate level – basic formulas), PowerPoint (intermediate level), Outlook (advanced level)
- Proven ability to take the initiative
- Personal values that demonstrate the ability to listen, patience and to empathise with respect.
- Proactive nature, demonstrating a desire to gain efficiencies and improve procedure
