A Receptionist’s role is vital to making our Avenue HQ sites tick, you'll get to know our members by name, join a bustling business community in the heart of Liverpool and help create a positive, customer focused work environment where service is second to none!
Our Reception’s day will follow our members' needs with our Welcome desk open from 8am-6pm Monday-Friday to help deliver a sleek experience for our members and guests. This role has the capacity to change day-to-day with no job too big or small depending on what is happening within the space on any given day. Through hosting dynamic member events for our clients, you'll have the opportunity to make the role your own too!
You’ll resolve issues as they arrive, run errands, complete office admin duties and keep Avenue HQ looking and running at a high standard by completing daily checklists for upkeep. An important part of this role is knowing the day's timetable in and out, to set up for meetings and events, welcome visitors to site, offer assistance to members and staff and keep the workspace looking and feeling fresh.
This a hands-on professional position that would suit a reliable person from a hotel, service or office environment. All necessary training will be provided, but your drive is all your own!
Duties:
- Greet and assist members, guests, and visitors with a warm and professional demeanor
- Handle incoming calls, emails, and inquiries, directing them as needed
- Handle bookings from enquiry stage through to invoicing and payment
- Know the days timetable and bookings to facilitate the days activities
- Get to know our members to help create a positive and professional work environment
- Set up meeting rooms and event spaces, tidy and rest rooms after
- General housekeeping of shared spaces
- Handle incoming and outgoing mail and deliveries
- Cleaning office/event or kitchenette after busy periods
- Resolve issues as they arise - passing on the relevant departments
- Handle enquiries for bookings and memberships
- Complete site tours for prospective clients
- Process on-boarding of new member from start to finish
- Address and resolve any member concerns or escalate them when needed
- Office/admin duties
- Running errands
- Bi-weekly stock checks, restocking site as necessary
- Helping members with general daily queries
- Help organise and support coworking events, networking sessions, and community activities
- Work collaboratively and support the wider operations team, Marketing and Sales teams to deliver Avenue HQ products and services with general admin and site tasks
We’re looking for:
- Prior experience in customer service, front desk, or office administration (experience in coworking, hospitality, or similar is a plus)
- Proficiency in Google Suite software
- Excellent communication and interpersonal skills
- Strong multitasking and problem-solving abilities
- A positive, professional, and proactive attitude
