Overall Responsibility of the Job
The Finance Officer will play a vital role in maintaining the financial health, accountability and sustainability of Perth and Kinross Foodbank.
Working closely with the Foodbank Manager and Treasurer, the postholder will ensure that the organisation maintains accurate financial records, effective financial controls and timely financial reporting. They will support informed decision-making by providing high-quality financial information that enables the organisation to respond effectively to community need, demonstrate accountability to funders and trustees, and plan confidently for the future.
Behind every food parcel distributed and every person supported is a financial framework that ensures resources are available when they are needed most. This role will help ensure Perth and Kinross Foodbank remains financially resilient, transparent and well-governed, enabling us to continue providing compassionate crisis support whilst working towards a future where no-one needs a foodbank.
The postholder will work collaboratively with staff, volunteers, trustees, funders and external partners, contributing to the organisation's wider mission, values and strategic objectives.
Specific Responsibilities
Financial Management
· Maintain accurate and up-to-date financial records using Xero.
· Process and record all income and expenditure transactions.
· Ensure financial transactions are coded correctly and allocated to the appropriate cost centres and funding streams.
· Carry out regular bank reconciliations.
· Administer petty cash processes and reconciliations.
· Process supplier invoices and arrange payments.
· Maintain creditor and debtor records.
· Monitor restricted and unrestricted funds and ensure appropriate allocation of expenditure.
· Reconcile online giving platforms, including JustGiving and other fundraising platforms.
· Monitor cash flow and identify any emerging financial concerns.
Financial Reporting
· Support the preparation of bi-monthly management accounts and financial reports.
· Assist with budget monitoring and variance reporting.
· Support the preparation and monitoring of annual budgets.
· Provide financial information to support strategic planning and decision-making.
· Support the preparation of annual accounts and year-end processes.
Funding and Compliance
· Support funding applications by providing budgets, financial information and supporting documentation.
· Assist with grant monitoring and financial reporting requirements.
· Maintain records required by funders and regulators.
· Support internal and external audits.
· Ensure compliance with relevant financial procedures, charity regulations and organisational policies.
Other Core Organisational Duties
· Conduct all work in line with Perth and Kinross Foodbank policies and procedures, including GDPR, equality and diversity, safeguarding and health and safety.
· Ensure financial procedures align with best practice guidance from the Trussell Network, OSCR and relevant regulatory bodies.
· Attend and contribute to staff meetings, organisational planning sessions and other forums as appropriate.
· Prioritise professional learning and development.
· Contribute to collective organisational goals and strategic objectives.

Person Specification
Experience / Skills / Attributes Sought
Essential
- Experience of bookkeeping and financial record keeping, including use of Xero or similar accounting software.
- Experience of bank reconciliations, financial reporting and maintaining accurate financial records.
- Strong numerical skills with excellent attention to detail and a high level of accuracy.
- Ability to prioritise workload, work independently and meet deadlines.
- Good IT skills, including Microsoft Office and financial software packages.
- Ability to communicate financial information clearly and work collaboratively with staff and Trustees.
- Commitment to the vision, mission and values of Perth and Kinross Foodbank.
Desirable
- Experience of charity finance, grant reporting or supporting audits.
