Overview
We are seeking a highly organised and proactive Office Administrator to join our team. This role is essential in ensuring the smooth operation of daily office functions, providing administrative support, and maintaining effective communication across departments. Duties
- Manage incoming calls with professional phone etiquette and direct enquiries appropriately
- Organise and maintain filing systems, both digital and physical, ensuring easy retrieval of information
- Perform data entry tasks accurately using Microsoft Office, Google, and Xero
- Assist with scheduling appointments, meetings, and maintaining calendars for staff members
- Prepare correspondence, reports, and other documents as required
- Support invoicing and financial record keeping through Xero
- Handle general administrative tasks such as photocopying, scanning, and ordering office supplies
- Liaise with clients and suppliers to ensure effective communication and service delivery
- Maintain a tidy and organised office environment to promote efficiency
Qualifications
- Proven experience in an administrative or clerical role within an office setting
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Experience with Xero or similar accounting software is desirable
- Excellent organisational skills with the ability to prioritise tasks effectively
- Good typing speed and accuracy for data entry tasks
- Demonstrated ability to communicate professionally via phone and email
- Strong attention to detail and organisational skills to manage multiple responsibilities simultaneously
- Previous office experience combined with good time management skills is preferred
