Salon Coordinator – Front of House & Client Experience

We're looking for someone who is naturally brilliant with people.
Someone warm, switched-on and confident who notices when a client needs looking after, spots when the salon is getting busy and instinctively thinks:

At Ella, our Front of House Coordinator is at the heart of the salon. You'll help create the relaxed, welcoming and beautifully organised experience our clients come to us for, while keeping a busy team and diary flowing smoothly behind the scenes.
About Ella
We're an independent Cheltenham salon with a team of around 10.
Our approach to service is what we call down-to-earth luxury: exceptional standards without being stuffy or pretentious.
We want clients to walk through the door and immediately feel they can relax because they're in good hands.
That means remembering the little things, reading the room, anticipating what people need and finding solutions before problems become problems.
The role
You'll be responsible for helping the salon run smoothly day to day, including:
- Creating a genuinely warm welcome for every client
- Managing appointments and coordinating a busy salon diary
- Answering calls, emails and messages confidently and professionally
- Processing payments and looking after the client checkout experience
- Keeping an eye on timings, delays and client flow throughout the day
- Communicating with stylists and anticipating where support is needed
- Helping maximise the diary by managing cancellations, waiting lists and appointment gaps
- Encouraging rebooking naturally as part of great client care
- Supporting product and service recommendations made by our stylists
- Keeping reception and client areas calm, organised and beautifully presented
- Handling everyday client queries and knowing when something needs to be escalated to management
- Pitching in and supporting the wider team when the salon gets busy
You'll receive full training in our salon systems, including Salon IQ, our services and the way we work.
Who we're really looking for
You don't necessarily need salon experience.
We'd love to hear from people with strong experience in hospitality, hotels, spas, premium retail, beauty, private healthcare or another fast-paced customer-facing environment.
What's much harder for us to teach is your natural instinct with people.
You'll probably be someone who:
- Reads people and situations well
- Is warm, friendly and emotionally intelligent
- Has a natural sense of urgency without creating frantic energy
- Notices things other people miss
- Thinks ahead rather than waiting to be asked
- Can confidently make decisions and solve everyday problems
- Communicates clearly and naturally
- Can juggle several things while remaining calm
- Enjoys being part of a team
- Understands that excellent service and commercial awareness can go hand in hand
- Takes genuine pride in making someone's day a little easier
This probably isn't the role for you if...
You prefer a quiet desk-based reception role where you can work through a set list of tasks independently.
Our salon can be busy and things change quickly.
One minute you'll be welcoming a nervous new client, the next you'll be rearranging the diary because someone is running late, answering the phone and noticing that another client needs looking after.
You need to enjoy that.
