JOB TITLE: Commercial Service Administrator (Part-Time)
LOCATION: 3 Old Barn Lane, Kenley, Surrey, CR8 5AT
REPORTING TO: Commercial Administration Manager
HOURS: 4 hours per day, over 4 days (16 hours per week)
BSW Heating Limited is a domestic and commercial heating servicing, maintenance, and installation company. We provide a professional, high-quality service across the Southeast. Our teams manage domestic and commercial installation projects, as well as repair and maintenance contracts for a range of clients including housing associations, local authorities, education providers and hospitals.
OVERALL PURPOSE:
The Commercial Department is responsible for the servicing and maintenance of all Commercial Plant Rooms and their connecting properties (flats). This is where a commercial building or block of flats has a designated room containing large boilers and this supplies heating and hot water to every room in the block, usually via an HIU unit within each dwelling. This is also known as district heating.
The role of Commercial Service Administrator is to achieve and maintain the compliance of all plant rooms and connecting properties across all clients, and to work in conjunction with the Commercial Administration Manager and other internal teams to ensure that the Client’s wider needs are met.
KEY RESPONSIBILITIES:
- To schedule annual gas servicing of plant rooms, Planned Preventative Maintenance (PPM) visits, and HIU servicing.
- To deliver an exemplary level of customer service to clients and residents.
- To co-ordinate service jobs and allocate work to engineers.
- To generate daily reports, such as no accesses & referred properties.
- To flag up further works required and ensure any chargeable works are quoted.
- To update clients on a regular basis.
- To collate and prepare Landlords Gas Safety Certificates & PPM documents.
- To run various macros to achieve plan configuration.
- To liaise with Field Ops to help allocate services when there is no capacity in any given diary.
- To create verification spreadsheet for managers to verify and ensure plans are within date range.
- Assisting with redeployment of appointments as required, liaising with Commercial CAs.
