An exciting opportunity has arisen for the role of a Senior Management Support Assistant to support the Director of Public Health within the Council.
As a member of the Management Support Team, the post holder will provide direct, confidential secretarial and technical support to the Director of Public Health, acting as the first point of contact.
This is a varied and fast-paced role where you will proactively manage the Director’s diary, ensuring thorough preparation for meetings. This includes coordinating and overseeing follow-up actions, arranging and attending meetings, preparing agendas, supporting papers, and taking accurate minutes. You will manage correspondence and emails, ensuring all communications are handled appropriately. In addition, you will ensure that all reports, briefings, and associated documentation are processed and responded to within the Council’s corporate timescales. In addition, you will also provide annual leave cover for the Executive Director’s PA and line manage a small team.
The key responsibilities for a Senior Management Support Assistant are:

Provide confidential and full secretarial support, including diary and email management.
- On behalf of the allocated member of the Senior Leadership Team, liaise with Elected Members, and internal and external bodies on a range of issues
- Deal with complex and sensitive customer queries and escalate these appropriately when needed.
- Deal with incoming and outgoing communications, registering, prioritising and redirecting as necessary and draft responses on behalf of the allocated member of the Senior Leadership Team.
- Set up and produce non-standard letters/templates/spreadsheets/documentation, update and maintain databases.
- Arrange and attend events and meetings. Produce agendas, prepare background papers and presentations, take minutes and monitor actions arising from meetings.
- Deputise for the directorate’s PA, as and when required.
- Line management of a small team
- Identify opportunities for process improvements and set up and develop new and revised working practices, including training and support for staff
- Carry out projects or more specialist work on behalf of the allocated member of the Senior Leadership Team as and when required.
- Support adherence to relevant governance arrangements and processes, for example, the Forward Plan and Freedom of Information requests.
