To maximise the sales and profitability of the department by effectively managing the Resort’s conference and events enquiries and maximising the conversion levels to confirmed business. To provide accurate information to the front-line team and full administrative support involved in the running of the department.
Main Duties
- To ensure all sales leads/enquiries are responded to in timely manner.
- To manage your own diary to ensure maximum appointment availability for guests.
- To help develop the packages and services available to all guests and look at the opportunities to increase revenues and profitability.
- To enter all enquiry information onto the Versa/SNC system.
- To maintain regular contact with your clients ensuring all changes are documented and relayed to the front house team.
- To produce accurate and up to date function sheets for your client to read and confirm the booking details.
- To follow up with your clients and front-line team on feedback of the event, update the notes on the system to ensure highest possibility of repeat business.
Team Focus
- Provide effective communication to departments and back to the F&B, events manager and Operations Manager.
- To produce accurate and up to date function sheets for the front-line operation team.
- To support when required any sales related events within the resort, i.e., business open days, wedding fayres, conference exhibitions, etc, as the needs of the business.
- To answer any incoming calls in a professional and courteous manner following department procedure ensure you use the clients name throughout.
Improvement and Leadership
- To be aware of competitor offers and pricing and feed back to your manager and team with any ideas or changes that can help customers service and resort profitability.
- To ensure regular reviews of pricing strategy for day and residential packages.
- To monitor competitor activity and rates across the relevant business sectors and make appropriate sales and marketing recommendations when necessary.
- Promote an environment that encourages staff learning and development, supporting all training opportunities including mentoring and coaching future managers.
- Consistently monitor the product against standards to ensure the Resort remains competitive against local and current trends.
Health & Safety
- Ensure that safe working practices are adhered to within all areas of the Resort
- To help ensure that staff always wear the appropriate uniform or PPE.
- Ensure that accidents are reported correctly against current legislation.
- To ensure any contractors have a valid permit to work before authorising their activities.
- To identify any personal training requirements to ensure you have sufficient knowledge of your health & safety responsibilities.
- Attend the monthly health & safety meetings ensuring any issues are highlighted and resolved in a timely manner.
