About the role
We're looking for an organised and proactive Design Office Assistant to support the smooth day-to-day running of our design office. This is a varied, hands-on role to assist the smooth running of our projects for blue chip brands, you'll keep customer free issue items in order, help prepare paperwork, help coordinate projects, and act as a reliable point of contact for customers and project managers alike.
It's an ideal position for someone who enjoys juggling multiple tasks, takes pride in keeping things tidy and on track, and likes being the person who makes sure nothing slips through the cracks. The role will be varied, and we are looking for someone who can carve out their own role by willingly taking on tasks from our designers, whatever they may be.
Key responsibilities
- Organise and maintain customer free issue goods, helping to make sure free issue stock is well-ordered and easy to locate for each project.
- Coordinate where customer free issue goods need to go, ensuring the right materials reach the right people and projects at the right time.
- Assist with delivery and handover paperwork, updating customers of install completions and keeping project records up to date.
- Communicate with customers to help manage project timelines, provide updates and keep expectations aligned.
- Support project managers with day-to-day tasks, helping projects progress on schedule.
- Handle general administrative tasks across the design office, which can vary from day to day.
- Help keep office processes running smoothly and step in where support is needed.
- Assist with data entry tasks and collection of data for sustainability compliance.
What we're looking for
- Strong organisational skills and a good eye for detail.
- Confident, clear communicator — comfortable dealing with customers and colleagues.
- Able to manage several tasks at once and prioritise sensibly.
- Reliable, proactive and happy to take complete ownership of the small things that keep an office running.
- Comfortable with standard office software (email, excel, word).
- Ideally experienced with using AI and applying it to admin tasks to expand what is possible.
- Previous experience in an office administration, project support or coordination role would be advantageous but we are very happy to give the opportunity to someone with the right attitude who has limited experience.
