Workforce Scheduling SpecialistAbout the Role
Hokben Performance and Business Operations Services is looking for an organised and analytical Workforce Scheduling Specialist to support workforce planning, employee scheduling, resource allocation, and operational coverage across the business.
The successful candidate will create and maintain effective schedules, monitor staffing requirements, respond to changes in operational demand, and work closely with managers and operational teams to ensure appropriate workforce coverage.
This role is well suited to someone with experience in workforce management, scheduling, resource planning, operations support, contact centre planning, or a similar environment who is confident working with data and changing priorities.
Key Responsibilities
- Create and maintain daily, weekly, and monthly workforce schedules.
- Allocate employees and resources based on operational requirements and forecast demand.
- Monitor staffing levels and identify potential coverage gaps.
- Adjust schedules in response to absence, workload changes, and operational priorities.
- Coordinate shift changes, leave requests, and schedule amendments.
- Maintain accurate employee availability and scheduling records.
- Work closely with operational teams to understand short-term and long-term staffing requirements.
- Monitor adherence to scheduled hours and investigate significant variances.
- Prepare workforce reports covering staffing levels, utilisation, absence, and schedule performance.
- Support workforce forecasting and capacity-planning activities.
- Analyse historical workload information to assist with future scheduling decisions.
- Maintain workforce management systems and ensure scheduling data remains accurate.
- Communicate schedule updates clearly to employees and relevant stakeholders.
- Coordinate overtime and additional staffing requirements where necessary.
- Support the management of shift patterns and working arrangements.
- Assist with identifying opportunities to improve workforce utilisation.
- Maintain accurate records relating to leave, absence, and schedule adjustments.
- Escalate significant resource shortages or scheduling conflicts appropriately.
- Support operational planning meetings with workforce data and scheduling information.
- Help improve scheduling procedures and workforce planning processes.
What We Are Looking For
- Previous experience in workforce scheduling, resource planning, workforce management, operations planning, or a related role.
- Strong organisational skills and excellent attention to detail.
- Experience preparing and maintaining staff schedules or resource plans.
- Strong numerical and analytical skills.
- Good working knowledge of Microsoft Excel, including formulas, filtering, and data analysis.
- Experience using workforce management, scheduling, or planning software would be advantageous.
- Ability to manage frequent changes while maintaining accurate records.
- Strong written and verbal communication skills.
- Confidence working with operational teams and multiple stakeholders.
- Ability to prioritise effectively in a fast-paced working environment.
- Experience analysing staffing, workload, or productivity information would be beneficial.
- Familiarity with shift-based, customer service, contact centre, logistics, or operational environments would be advantageous.
Pay: £39,000.00 per year
