About the Role
Siam Creative Education and Learning Services is looking for an organised, approachable and detail-focused Admissions Officer to support the processing of student applications and provide a professional admissions service to prospective learners.
The successful candidate will work closely with applicants, academic teams, student services and administrative colleagues to review applications, maintain accurate student records, coordinate admissions documentation and guide applicants through each stage of the enrolment process.
This role is suitable for someone with experience in education administration, student services, admissions, customer service or general office administration who is comfortable working with confidential information, managing deadlines and communicating with prospective students.
Key Responsibilities
Admissions Administration: Support the day-to-day processing of student applications and admissions activity.
Application Processing: Review submitted applications and ensure required information has been provided.
Applicant Records: Maintain accurate and current applicant information throughout the admissions process.
Application Checks: Review forms and supporting documents for completeness and consistency.
Document Collection: Follow up outstanding application documents with prospective students.
Applicant Communication: Provide clear information regarding application requirements and next steps.
Admissions Enquiries: Respond professionally to routine questions from prospective students.
Telephone Support: Handle incoming admissions enquiries and direct complex matters appropriately.
Email Administration: Monitor admissions inboxes and respond to or distribute correspondence.
Application Tracking: Monitor applications as they progress through different admissions stages.
Admissions Database: Maintain accurate information within student or admissions-management systems.
Data Entry: Enter applicant and enrolment information accurately and promptly.
Data Quality: Review admissions records for missing, duplicated or inconsistent information.
Eligibility Checks: Support routine checks against published programme-entry requirements.
Qualification Records: Maintain copies of submitted academic or professional qualifications.
Supporting Documents: Organise applicant statements, references and other required materials.
Application Referrals: Forward applications to relevant academic teams where additional review is required.
Decision Recording: Record approved admissions decisions accurately within relevant systems.
Offer Administration: Prepare and issue approved offer documentation.
Conditional Offers: Track outstanding conditions attached to admissions offers.
Offer Acceptance: Record applicant acceptance or decline information.
Applicant Follow-Up: Contact applicants regarding outstanding actions required before enrolment.
Waiting Lists: Maintain accurate applicant waiting-list information where applicable.
Programme Availability: Provide applicants with current information about available programmes.
Course Changes: Process authorised changes to programme or intake information.
Intake Coordination: Support administration for upcoming student-intake periods.
Enrolment Preparation: Ensure successful applicants have completed required pre-enrolment steps.
Student Registration: Support transition of successful applicants into student records.
Identity Documentation: Maintain required identification documents according to established procedures.
Fee Information: Provide approved administrative information regarding tuition or programme fees.
Payment Coordination: Liaise with finance teams regarding routine applicant payment information where required.
Funding Documentation: Support processing of relevant funding or sponsorship documentation.
Applicant Events: Assist with admissions open days, information sessions and recruitment events.
Open Day Administration: Coordinate attendee registration and event documentation.
Interview Scheduling: Arrange applicant interviews or assessments where required.
Assessment Coordination: Support administration of entrance assessments or selection activities.
Calendar Management: Maintain admissions dates, deadlines and key intake milestones.
Admissions Reporting: Prepare routine reports on application volumes and progress.
Conversion Monitoring: Support tracking of applications, offers, acceptances and enrolments.
Pipeline Management: Maintain accurate trackers showing outstanding admissions actions.
Application Trends: Assist with reviewing applicant numbers and admission patterns.
Academic Coordination: Communicate with programme teams regarding application status and decisions.
Student Services Coordination: Support smooth handover of successful applicants to student-support teams.
Marketing Coordination: Provide admissions information required for recruitment and promotional activities.
International Application Support: Assist with administrative processing of international applications where applicable.
Confidentiality: Handle applicant and student information professionally and securely.
Data Protection: Follow established procedures for protecting personal information.
Records Management: Maintain organised electronic admissions files.
Policy Compliance: Follow established admissions policies and administrative procedures.
Continuous Improvement: Contribute ideas that improve applicant experience, processing accuracy and admissions efficiency.
What We Are Looking For
Experience: Previous experience in admissions, education administration, student services, customer service or a comparable administrative environment.
Admissions Awareness: Understanding of student application and enrolment processes would be advantageous.
Administrative Skills: Strong ability to manage records, correspondence and structured processes.
