The Role
Based at our Four Ashes office, you’ll help keep the Spillard Live platform accurate and up to date so that customers, internal teams and the wider business have access to the right information when they need it.
You’ll be working with job information, Spillard Live records, reports and customer queries, so attention to detail and a practical, helpful approach are essential.
What You’ll Be Doing
Platform Administration
- Maintain and update internal systems following completed installation work.
- Review job information and update the relevant Spillard Live records.
- Support the administration process so that system information remains accurate and up to date.
- Keep customer records accurate and up to date following all relevant interactions and updates.
Customer and Internal Support
- Respond to customer queries by phone and email, resolving or escalating where needed.
- Support internal staff with queries relating to the Spillard Live platform.
- Communicate clearly and professionally so that customers and colleagues know what is happening and what the next step is.
Reporting and Data
- Produce and manipulate Excel reports for customer fleets using system data.
- Use reports to check job information, identify updates needed and support accurate record keeping.
- Check information carefully before it is shared, updated or marked as complete.
- Work accurately with data, records and reports as part of daily administration.
General Administration
- Carry out general administrative duties to support the Spillard Live and wider office team.
- Keep information organised and follow up on tasks where needed.
- Support day-to-day team activity by keeping records, reports and queries moving
What Success Looks Like
- Spillard Live records are kept accurate, current and aligned with completed work.
- Job information is reviewed and updated in line with the required process.
- Customer and internal queries are handled promptly, clearly and professionally.
- Tasks are followed through, escalated where needed and completed with good attention to detail.

About You
You’ll be someone who is organised, accurate and comfortable working with both people and data. You’ll enjoy keeping things up to date, spotting details and making sure queries are dealt with properly.
You do not need to be a technical specialist, but you should be confident using Microsoft Office, particularly Excel and Word, and be willing to learn how the Spillard Live platform supports our customers and internal teams.
Essential:
- Previous experience in an administrative or office-based role.
- Strong organisational skills with the ability to manage and prioritise workload.
- High attention to detail and accuracy when working with data.
- Clear and confident communication skills.
- Good working knowledge of Microsoft Office, particularly Excel and Word.
- Ability to work independently and take ownership of tasks.
Desirable:
- Experience working with customer records, job information, fleet information or reporting data.
- Full driving licence and access to a vehicle, due to the location of the office.
