THE ROLE – KEY RESPONSIBILITIES
- Provide professional reception and administration support to the business.
- Ensure the office, reception and welfare facilities are maintained in a safe, organised and professional manner.
- Coordinate the day-to-day facilities and premises requirements of the business.
- Support the company's Health & Safety management system through administration, monitoring and routine inspections.
- Act as the primary contact for building maintenance, service providers and contractors.
- Support the smooth day-to-day running of the business through effective administration and organisational support.
MAIN TASKS
Reception & Office Administration
- Manage the reception area and act as the first point of contact for visitors, customers and suppliers.
- Answer and direct incoming telephone calls and take messages where required.
- Receive and distribute incoming post.
- Welcome visitors and contractors, ensuring visitor procedures are followed.
- Maintain meeting rooms and visitor areas to a professional standard.
- Support internal company communications and staff notices.
- Assist with organising company meetings, training sessions and staff events.
- Support onboarding activities for new employees, including preparation of workplace facilities and administration.
Facilities & Premises
- Take responsibility for the day-to-day presentation and organisation of office, welfare and communal areas.
- Carry out routine workplace inspections and identify maintenance, housekeeping or safety issues.
- Arrange repairs, servicing and maintenance visits with external contractors.
- Coordinate contractor access and maintain contractor records.
- Monitor standards of cleaning and housekeeping throughout the premises.
- Maintain facilities documentation, service records and compliance certificates.
- Coordinate waste disposal and recycling arrangements.
- Record utility meter readings and maintain associated records.
- Support site security arrangements including visitor management, access control and key management.
- Assist with minor office moves, workspace organisation and facilities improvements.
Health & Safety
- Support the implementation and administration of company Health & Safety procedures.
- Maintain Health & Safety records, inspection reports and compliance documentation.
- Coordinate routine compliance checks, inspections and servicing activities.
- Carry out regular fire alarm tests and maintain associated records.
- Maintain first aid and fire safety equipment records.
- Coordinate accident, incident and near-miss reporting and documentation.
- Support emergency evacuation drills and associated record keeping.
- Act as Fire Marshal and First Aider, subject to training.

Pay: £25,000.00-£30,000.00 per year
