Essential qualities
About The Sword Stall
The Sword Stall is a growing UK ecommerce business specialising in replica swords, iconic weapons and collectibles inspired by films, gaming, fantasy, history and popular culture.
Our customers love what they love without needing permission. Some have searched years for a particular collectible; others simply see something that looks amazing and makes them happy. Both are equally valid.
We believe every product should be handled, presented and dispatched with care, accuracy and genuine enthusiasm.
About the role
We are looking for an organised and practical Ecommerce Fulfilment & Product Coordinator to join our team in Bacup.
This is a genuinely varied role combining ecommerce order fulfilment, goods-in, stock control and warehouse organisation with product preparation, photography and Shopify catalogue support.
Some days will focus heavily on picking, checking and packing customer orders. Other days may involve receiving deliveries, measuring and photographing new products, researching specifications or helping to prepare products for publication on our website.
The balance between fulfilment, stock and product work will change according to order volumes, incoming deliveries, seasonal demand and product-launch priorities. There is no fixed percentage split between the different parts of the position.
What you’ll be doing
Ecommerce fulfilment
- Picking, checking, packing and labelling customer orders
- Ensuring the correct products and quantities are dispatched
- Selecting appropriate packaging and protecting products in transit
- Using Shopify and courier-dispatch systems
- Meeting daily dispatch deadlines
- Identifying damaged items, incorrect addresses and other order exceptions
- Keeping packing stations clean, safe and properly stocked
Goods-in and stock control
- Receiving and checking supplier deliveries
- Comparing deliveries against the relevant documentation
- Counting and inspecting products for damage, quality and completeness
- Recording and reporting supplier discrepancies
- Booking approved stock into the relevant inventory system
- Moving products to the correct storage locations
- Supporting stock checks and discrepancy investigations
- Maintaining clear, accurate and organised stock locations
- Reporting damaged, missing, misplaced or low stock
Product preparation and quality
- Preparing new products for measurement, photography, listing and storage
- Recording specifications such as dimensions, materials, contents and features
- Checking products against agreed quality and presentation standards
- Photographing and documenting quality or supplier issues
- Flagging missing, conflicting or potentially unsafe product information
- Ensuring product samples remain identifiable and protected
Website and catalogue support
- Creating or updating allocated Shopify product records
- Adding approved titles, descriptions and specifications
- Uploading and arranging product images
- Supporting product categories, collections, tags and filters
- Checking product information for accuracy and consistency
- Reviewing how product pages display to customers
- Following the agreed product approval and publication process
Photography and product content
- Taking clear and consistent product photographs
- Supporting simple product-demonstration and unboxing videos
- Creating short-form product content where required
- Naming and storing photographs and videos correctly
- Providing suitable assets for the website, email and social media
Returns support
- Receiving and inspecting returned products when allocated
- Recording the condition and completeness of returned items
- Providing photographs and evidence to support customer-service or courier decisions
- Returning approved items to saleable stock or quarantining them as instructed
How the flexible role works
Fulfilment, goods-in, warehouse and stock priorities will be directed by our Commercial & Operations Director.
Product priorities, information and presentation standards will be directed by our Customer Experience, Retention & Product Director.
Dispatch deadlines, urgent goods-in issues and customer-impacting stock problems will normally take priority. Product work displaced by operational demand will be recorded and rescheduled rather than abandoned.
The successful candidate must be comfortable moving between hands-on warehouse work and computer-based product work as business priorities change.
What we’re looking for
- Highly organised and dependable
- Strong attention to detail
- Comfortable undertaking both physical and computer-based work
- Able to follow processes and meet deadlines
- Proactive in identifying and reporting problems
- Comfortable learning and using technology
- Good written communication
- Able to work independently and as part of a small team
- Flexible and positive when priorities change
- Consistent, accurate and proud of producing good work
Desirable experience
Experience in one or more of the following would be helpful:
- Ecommerce
- Order fulfilment
- Warehouse operations
- Goods-in
- Stock or inventory control
- Shopify or another ecommerce platform
- Courier-dispatch systems
- Product photography
- Basic video editing
- Product listings or catalogue content
- Returns processing
An interest in films, gaming, fantasy, pop culture, collecting, photography or content creation would be an advantage, but existing product knowledge is not essential. Curiosity and willingness to learn matter more.
Physical and working requirements
This is an office and warehouse-based position in Bacup.
The role involves standing, walking, reaching, packing and moving stock. The successful candidate must be able to carry out the role’s practical duties safely. Reasonable adjustments will be considered.
Occasional overtime may be requested during particularly busy periods.
What success looks like
The successful candidate will help us achieve:
- Accurate and timely order dispatch
- Low packing-error and preventable-damage rates
- Reliable goods-in and stock records
- Well-organised stock locations
- New products reaching launch-ready status on time
- Complete and consistent product information
- Professionally presented product photographs and content
- Early identification and escalation of problems
- A dependable link between our warehouse and customer-facing website
