The Client Care & Office Administrator plays a vital role in supporting the day-to-day operations of our family-run pet crematorium. As a first point of contact for pet owners, this role combines compassionate client care with efficient administrative support. The successful candidate will provide a warm, professional, and empathetic service to grieving families while ensuring accurate record-keeping and smooth office administration
Key Responsibilities
- Answer telephone calls, emails, and enquiries from clients and veterinary practices in a professional and compassionate manner
- Support bereaved pet owners by providing information about cremation services, memorial options, and the aftercare process.
- Welcome clients visiting the premises and assist them with sensitivity and respect during a difficult time.
- Maintain accurate records and update client information using computer-based systems.
- Process bookings, cremation documentation, invoices, and payments.
- Communicate effectively with colleagues to ensure services are delivered efficiently.
- Prepare and organise paperwork related to cremation services and memorial products.
- Liaise with veterinary practices regarding collections, returns, and service enquiries.
- Ensure confidentiality and compliance with company procedures when handling client information.
- Assist with general office duties, including filing, data entry, correspondence, and stock monitoring.
- Contribute to maintaining a caring, supportive, and professional environment for clients and visitors

About the Role
This position offers the opportunity to make a meaningful difference to families during a difficult time. As part of a close-knit, family-run business, the Client care and Office Administrator helps ensure every pet owner receives compassionate support and exceptional service throughout their pet’s final journey.
This position is offered on an initial three month trial basis. The trial period is designed to ensure the role is a good fit for both the employee and the business. During this time, training, guidance, and regular feedback will be provided. Continued employment will be subject to good performance and successful completion of the trial period.
