We are now looking for an exceptionally organised, confident and personable Office Administrator to join our team at Ashley Cross.
This is an important position within our nursery. You will often be the first point of contact for prospective families, existing parents, visitors, professionals and outside agencies, so we are looking for someone who understands the importance of creating an outstanding first impression.
You will be warm and approachable, but equally professional, organised and highly competent. You'll take pride in ensuring that our busy nursery office runs smoothly and that every person who contacts or visits us receives the level of service they would expect from a high-quality childcare setting.
About the Role
Sitting at the heart of the nursery, you will provide administrative support to our Nursery Management and Finance Teams while ensuring the office remains organised, efficient and welcoming.
No two days will be exactly the same. One moment you may be speaking with a prospective parent who is considering our nursery for their child, and the next you may be liaising with a local authority, professional agency or member of our management team.
Your responsibilities will include:
- Being the first point of contact for prospective families, existing parents, visitors and outside professionals.
- Providing a warm, polished and professional welcome to everyone visiting the nursery.
- Managing incoming telephone calls, emails and enquiries efficiently and professionally.
- Responding to prospective parent enquiries and helping families through the initial stages of their nursery journey.
- Supporting the Nursery Management Team with day-to-day administration.
- Liaising professionally with local authorities, external agencies, suppliers and other professionals.
- Supporting our Finance Team with administrative tasks, documentation and record keeping.
- Maintaining accurate child records, databases and confidential documentation.
- Preparing correspondence, documents, spreadsheets and other administrative information.
- Managing office supplies, filing systems and general office organisation.
- Supporting nursery rooms and Room Leaders with administrative requirements where necessary.
- Helping to ensure that the nursery operates efficiently and maintains the exceptionally high standards our families expect.
About You
We're looking for someone who naturally combines warmth and personality with professionalism and exceptional organisation.
You'll ideally be someone who:
- Has strong previous experience within administration, reception, office management or a customer-facing environment.
- Is highly organised and enjoys creating order in a busy office.
- Is confident managing several priorities at the same time.
- Communicates exceptionally well, both face-to-face and over the telephone.
- Writes professional, accurate emails and correspondence.
- Is confident using Microsoft Office, including Word, Outlook and Excel.
- Has excellent attention to detail.
- Takes ownership of tasks and follows things through to completion.
- Is discreet and understands the importance of confidentiality.
- Is confident communicating with parents, professionals and external agencies.
- Has a naturally positive, helpful and welcoming personality.
- Takes pride in representing a business professionally.
Previous experience within childcare, education, healthcare or another regulated environment would be advantageous, but it is not essential.
