The Role
We are seeking a professional, personable, and well-organised Receptionist to join our Chancery Lane office. As the first point of contact for clients, legal professionals, and visitors, you will play a crucial role in shaping the firm's first impression. You will work closely with solicitors, paralegals, and the wider administrative team to ensure the smooth and efficient day-to-day running of the front desk and office.
This is an in-office, full-time position. Hours are Monday to Friday, 9:00 AM to 6:00 PM and Saturday 10:00 AM - 2:00 PM
Key Responsibilities
Front Desk & Client Management
- Greet and welcome all clients, visitors, and legal professionals in a warm, professional manner
- Manage incoming telephone calls, direct enquiries to the appropriate fee earner or department, and take accurate messages
- Handle client check-ins and waiting room management, ensuring a calm and welcoming environment
- Respond to general email and web chat enquiries promptly and professionally
Administrative Support
- Schedule and coordinate appointments, meetings, and consultations
- Maintain and update client records and contact databases with accuracy and care
- Manage incoming and outgoing post, couriers, and deliveries
- Prepare meeting rooms, including refreshments where required
- Order and maintain office supplies and stationery
General Office Support
- Liaise with solicitors and support staff to ensure efficient flow of information
- Assist with filing, photocopying, scanning, and basic document management
- Maintain the reception area to a high standard of tidiness and presentation at all times
- Support other administrative tasks as reasonably requested by management
Person Specification
Essential
- Previous experience in a receptionist, front-of-house, or customer-facing administrative role
- Excellent verbal and written communication skills with a confident telephone manner
- Professional personal presentation and a polished, friendly demeanour
- Strong organisational skills with the ability to multitask and prioritise in a busy environment
- Proficiency in Microsoft Office (Word, Outlook, Excel) and general IT literacy
- Ability to handle sensitive and confidential information with discretion
- Punctual, reliable, and committed to maintaining a high standard of work
Desirable
- Prior experience working within a law firm or professional services environment
- Familiarity with legal terminology or case management software
- Ability to speak additional languages is a bonus, given the firm's diverse international client base
