Oakfield is an established estate agency with a strong reputation for delivering high levels of service across our departments.
Our Block Management department manages residential developments on behalf of our clients, and we are looking for a highly organised Administrator to join our Block Management Accounts Team.
This is a busy administrative role supporting the day-to-day service charge processes for the developments we manage. It would suit someone who enjoys being organised, working accurately and making sure tasks are completed properly and on time.
About the Role
Working closely with our Accounts Manager and the wider Block Management team, you will provide administrative support across a range of service charge processes.
The role involves issuing correspondence and documentation, processing information, maintaining accurate records and helping to ensure key tasks and deadlines are kept on track.
Attention to detail is particularly important. You will regularly be working with property information, figures, dates and client records, so we are looking for someone who naturally checks their work and takes pride in getting things right.
Full training will be provided on service charges, Block Management and our property management systems.
Your Responsibilities
Your day-to-day duties will include:
- Sending service charge and ground rent demands to leaseholders.
- Sending arrears reminders and chasers in line with our procedures.
- Issuing budgets and associated correspondence.
- Uploading and processing supplier invoices.
- Uploading information and documents to our property management system.
- Producing and sending standard letters and emails.
- Checking information for accuracy before documents and correspondence are issued.
- Monitoring tasks and deadlines and following these through to completion.
- Maintaining electronic records and filing.
- Providing general administrative support to the Accounts Manager and wider Block Management team.
About You
We are looking for someone who:
- Has excellent attention to detail and takes pride in producing accurate work.
- Is highly organised and methodical.
- Enjoys administration and keeping on top of a busy workload.
- Is comfortable working with figures and checking information.
- Can follow established processes and procedures accurately.
- Is able to prioritise tasks and work to deadlines.
- Is confident using computer systems and learning new software.
- Has clear and professional written and verbal communication skills.
- Has good Microsoft Office skills, particularly Outlook, Word and Excel.
- Is reliable, proactive and takes ownership of tasks through to completion.
- Works well as part of a team.
Previous experience in an administrative or office-based role is essential.
Experience within property, Block Management or service charges would be an advantage, but is not essential as full training will be provided.
