Property Lease Coordinator

About the role
The Property Lease Coordinator plays a key role in coordinating our property data and documentation across our varied property portfolio and communicating all key lease milestones to ensure minimal risk to the business. They will ensure property data is accurate and correct, having good attention to detail and financial acumen to ensure all costs are accounted for and invoices are reconciled back to agreements. They will work closely with the other Property Coordinator and will support delivery of a balanced workload between them as required.
What you’ll be doing
As the saying goes, no two days will be the same, but overall, you’ll be doing.

Ensure our key property data is accurate and up to date
- Reconcile room hire invoices back to agreements and challenge costs where necessary
- Work closely with our internal finance team ensuring all costs are invoiced or accrued for
- Check we have leases/licences in place for our occupations
- Communicate with landlords over licence renewals in a timely manner
- Complete SLA templates for sessional bookings
- Coordinate all sessional estate bookings ensuring no loss of service
- Monitor and coordinate all key lease/licence milestones, communicating out to key stakeholders
- Support to serve notices if required
- Work with the Head of Estates and the Property Coordinator to support the achievement of the property strategy by ensuring sites are continually reviewed and scored as required
- Flag any poor performing sites to the Estates Project Manager for review
- Resolve enquiries from Operations Managers and landlords with regards rental costs and capacity planning
- Keeping clear records of documentation
- Work closely with our external legal team and property agents as required
- Provide cover for the Property Coordinator as required during short periods of absence or mobilisations
- Occasional support in relation to property changes or project works as required to support the business
- Any other ad hoc requirement to support the wider team as required
Who we’re looking for
Essential
-
Experience in property data management
- Experience of invoice reconciliation
- Ability to pick out key information from leases/licences and edit a standard agreement template
- Highly organised with an attention to detail
- Good financial skills and knowledge of financial processes
- Self-motivated and achievement orientated with the ability to work in a dynamic work environment with commercial pressure
- Competent with all IT Office packages and good general IT ability
- Excellent communication skills (both written and verbal)
