An opportunity has arisen to join our expanding Company Art of Maintenance. We offer Commercial Facilities Maintenance and interiors services. We are seeking an organised and customer focused Facilities Support Administrator to join our growing team.

The Role:
This is a key administrative role within our Service Team, working closely with the Operations Director and supporting the wider service operations function. As the first point of contact for our clients you'll help ensure the maintenance requests are logged and signposted accurately, service calls are allocated efficiently and customers receive a professional and responsive service alongside providing administration support to the Operations Director to assist with the day-day running of the business.
Responsibilities:
- Provide day-to day administrative support to the Operations Director
- Act as the first point of contact for customer enquiries via telephone and email.
- Log work requests accurately onto our Job Management System and allocate them to the service team
- Create, issue and update work orders and job records
- Prepare quotations, purchase orders and general correspondence
- Schedule appointments and coordinate diaries where required
- Prepare and send customer invoices and statements
- Handle incoming enquiries and direct them to the appropriate team member.
- Provide general office administration to support the wider business.
Skills:
To be successful in this role, you should have the following skills:
- Strong Organisational Skills with an emphasis on attention to detail.
- Proficiency in working with Microsoft Office.
- Familiarity with working with Job management systems.
- Excellent Communication Skills.
- Logical thinker and ability to work under pressure in an ever changing fast paced environment
