About Hewitts
Hewitts is a growing specialist contractor delivering high-quality projects across the construction sector. We are looking to recruit three organised and proactive Project Administrators to support Project Management, Operations and Health & Safety from project launch through to final handover.
This is a varied and fast-paced role where you'll become a key member of the project delivery team, ensuring projects remain organised, compliant and running efficiently.
Working alongside our Operations Director, Project Managers, Supervisors and Commercial Team, you'll be responsible for maintaining accurate project documentation, monitoring compliance, coordinating procurement activities and supporting daily site operations from our "in-house" base just outside of Chester le Street, Co Durham.
Key ResponsibilitiesProject Administration
- Manage project administration from project launch through to completion.
- Audit project documentation and processes weekly, ensuring all tasks are progressing as planned.
- Maintain accurate project records and filing systems.
- Support Project Managers and Site Management Teams with day-to-day administration.
Design Coordination
- Upload and manage drawing revisions (Received, Approved, Construction Issue and As-Built).
- Review drawing revisions weekly and issue updated drawing packs.
- Assist with material take-offs for manufacturing and procurement.
Health, Safety & Compliance
- Maintain project Health & Safety documentation.
- Record and manage:
- Safe Systems of Work (SSOW)
- Lift Plans
- COSHH Assessments
- Site Inductions
- Training Matrix
- Subcontractor records and CVs
- Health & Safety checklists
- Next of Kin records
- Monitor and file:
- Daily Attendance Logs
- Activity Briefs
- Daily and Weekly SHEQ inspections
- Two-weekly SMT Site Assessments
- Monthly external H&S inspections
- Produce Health & Safety KPI information, including hours worked without incident or accident.
- Manage Toolbox Talks, Environmental Briefings and statutory inspection records.
- Maintain logs for:
- PPE
- Tools
- MEWPs
- Plant
- Scaffold inspections
- Safety Netting
- PUWER
- HAVS
- Hot Work & Roof Permits
- First Aid
- Fire Equipment
- PAT Testing
Procurement
- Monitor project procurement schedules and wish lists.
- Raise Purchase Enquiries and Purchase Orders.
- Call off materials as projects progress.
- Purchase small sundry items using the company purchasing process.
Programming
- Attend weekly programme meetings.
- Assist with producing weekly construction programmes.
- Issue updated programmes every Monday.
Operations Support
- Complete and maintain daily site diaries.
- Log managers' weekly diaries.
- Organise and catalogue daily site photographs.
- Record client dayworks and resource sheets.
- Assist with Quality Assurance inspection paperwork.
- Assist with the Preparation of project handover documentation.
- Maintain:
- Plant registers
- Materials registers
- Tools & equipment logs
- NCR (Non-Conformance Report) registers
Commercial Support
Whilst this role is not commercially focused, you'll maintain and forward project records including:
- Early Warning Notices (EWN)
- Extension of Time (EOT) documentation
- Daywork Sheets
- Variation Logs
These will be issued to the Commercial Team for commercial management.
About You
We're looking for someone who is:
- Highly organised with excellent attention to detail
- Confident managing a project simultaneously
- Experienced in administration within construction, engineering or a project environment (preferred)
- Competent using Microsoft Office, particularly Excel, Outlook and Word
- Comfortable working with digital document management systems
- Able to communicate confidently with site teams, suppliers and office staff
- Proactive and able to work independently while supporting a wider team
