Pacifica is one of the UK's leading domestic appliance repair specialists, supporting some of the country's biggest manufacturers and retailers. Due to continued growth, we are looking for a Purchasing Assistant to join our team based at our Washington warehouse in Tyne & Wear.
Our Purchasing team plays a vital role in ensuring our engineers have the correct spare parts available to complete repairs for customers across the UK. You will support the purchasing and availability of spare parts, working closely with suppliers, our warehouse team and internal departments to maintain excellent service levels.

The Role
As a Purchasing Assistant, you will support the effective procurement, inventory control and distribution of spare parts across the business. Working closely with suppliers, warehouse colleagues and internal teams, you will help ensure:

Purchase orders are processed accurately and efficiently.

Spare parts are available when required.

Stock records remain accurate.

Supplier issues are identified and resolved quickly.

Operational disruption is minimised.
You will use internal systems and Microsoft Excel to maintain accurate records, monitor orders, update information and support stock reporting.
This varied role would suit someone with experience in purchasing, procurement, stock control, inventory management, logistics, warehouse administration or a similar operational support role.
Key Responsibilities
Purchasing & Supplier Management

Process daily spare parts orders accurately and within supplier cut-off times.

Review and validate purchase orders to prevent duplicate or unnecessary purchasing.

Create and maintain spare part records, including supplier details, pricing, descriptions and part numbers.

Monitor supplier lead times and update expected delivery dates for outstanding, delayed or backordered parts.

Liaise with suppliers regarding shortages, damaged goods, missing deliveries and credits.

Support the Purchasing Manager with supplier queries and supply issues.

Maintain positive working relationships with suppliers to support reliable parts availability.
Stock Control & Inventory Management

Complete the daily booking-in of spare parts within the stock management system.

Maintain accurate inventory records and support stock accuracy across the warehouse.

Investigate stock discrepancies, lost items and warehouse queries.

Check delivery notes and goods-in documentation when investigating stock issues.

Ensure spare parts are correctly located within warehouse stock locations.

Support the timely return of parts to suppliers and customers.
Operational Support

Monitor and action shared purchasing inboxes.

Support engineers, customer service teams and internal departments with parts-related queries.

Complete assigned actions within agreed timescales.

Help reduce appointment cancellations caused by parts availability issues.

Support continuous improvement within the purchasing and logistics function.
About You
We are looking for someone who is organised, reliable and able to manage competing priorities while maintaining a high level of accuracy.
You will be comfortable working with suppliers, systems and data, and enjoy solving problems to help keep operations running smoothly.
Essential Skills & Experience

Previous experience within purchasing, procurement, stock control, inventory management, logistics, warehouse administration or a similar role.

Strong organisational and planning skills.

Excellent attention to detail and accuracy.

Ability to prioritise workloads and meet deadlines.

Strong verbal and written communication skills.

Good working knowledge of Microsoft Office applications, including Excel.

Confident using computer systems and learning new software.

A proactive approach to problem-solving.
Desirable Experience

Experience working with suppliers and purchase orders.

Knowledge of stock management and inventory control processes.

Understanding of basic stock accounting principles

Intermediate Microsoft Excel skills.

Additional Information

Normal working hours are Monday to Friday, 8:00am to 4:00pm, 37.5 hours per week. As part of our operational requirements, there may be occasions where flexibility is required to work alternative hours between 6:00am and 6:00pm. Any changes outside of the normal working pattern will be communicated with reasonable notice.
