We have an exciting opportunity for a Practice Manager to join the VisitHealth team. This role will be based in our West London clinic, and we are offering a competitive salary and benefits.
Key Responsibilities:
The responsibilities of the Practice Manager include, but are not limited to:
- Oversee the day-to-day operational running of the clinic, ensuring services are delivered efficiently and professionally.
- Support the implementation and continuous improvement of the clinic’s processes, systems, and ways of working.
- Manage and coordinate the Front of House operations and the day-to-day activities of the Patient Support Coordinators, ensuring the effective delivery of both patient-facing and back-office administrative functions.
- Provide leadership, guidance, and day-to-day support to the administrative team, ensuring high standards of customer service, communication, and operational efficiency.
- Assist with workforce planning, staff rotas, and day-to-day staffing requirements in collaboration with departmental leads.
- Monitor clinic supplies and coordinate the ordering of medical equipment, consumables, and general office supplies to maintain appropriate inventory levels.
- Ensure patient records, appointment systems, and administrative processes are accurate and comply with data protection and information governance requirements.
- Respond to patient queries and complaints, helping to resolve issues promptly and professionally.
- Promote excellent patient experience by maintaining high standards of customer service.
- Where required, undertake Patient Support Coordinator duties, including welcoming and registering patients, escorting patients at the clinic, and providing information regarding the clinic’s services, associated fees, payment processes, and accepted insurance providers.
- Support compliance with CQC standards and other relevant healthcare regulations by maintaining accurate operational records and documentation.
- Coordinate health and safety activities, including risk assessments, incident reporting, mandatory training, and ensuring the clinic remains a safe environment for patients, staff, and visitors.
- Work with HR and departmental leads to support staff induction, mandatory training, and compliance with organisational policies.
- Help review and update organisational policies, SOPs, and business continuity plans.
- Support service development projects and initiatives that improve the quality, efficiency, and delivery of services.
- Liaise with suppliers, contractors, and external service providers to support the smooth running of the clinic.
- Work with the Facilities team to ensure routine maintenance, repairs, and building issues are addressed promptly.
- Support the administration of the clinic’s IT systems, ensuring staff have the appropriate access and that data is kept secure.
- Prepare operational reports, maintain accurate records, and provide administrative support to the Senior Management Team as required.
Qualifications
Essential:
- Educated to A-Level standard or equivalent.
- At least 3 years’ experience working in a healthcare or private clinical setting.
- At least 1-2 years’ experience in supervisory, team leader, coordinator, or practice management role.
- Good understanding of patient administration processes, confidentiality, and data protection (GDPR).
- Knowledge of CQC standards and healthcare regulations.
- Strong organisational and time management skills, with the ability to manage multiple priorities.
- Excellent problem-solving and decision-making skills.
- Excellent communication and interpersonal skills.
- Proficient in MS Office (Word, Excel, Outlook, and Teams).
- Ability to work independently and collaboratively within a multidisciplinary team.
Desirable:
- Degree in Business Administration, Healthcare Management, or a related field.
- Qualification or training in healthcare or practice management.
- Good analytical skills, with the ability to identify trends and recommend improvements.
- Experience supporting CQC inspections or regulatory compliance.
- Ability to contribute to service improvement and operational development.
