Role Overview:
As Reception Team Leader for a leading insurance client based in Fenchurch Street, you will be the driving force behind a high-performing front-of-house service. Managing one direct report, you will be the first point of contact for guests and employees, ensuring every interaction is welcoming, professional, and aligned with client expectations.
You will work closely with the landlord’s front-of-house and security teams to create a seamless visitor experience, while also overseeing internal events planning, employee engagement activities, and switchboard operations. This is a fast-paced, client-facing role requiring a confident communicator, excellent organisational skills, and a commitment to service excellence.
** This is a maternity contract currently running until January 2027, potentially permanent**
Front of House Responsibilities
- Lead the reception function by example, delivering an exceptional guest experience with professionalism, personality, and attention to detail.
- Manage the end-to-end visitor journey, including registration, access passes, notifications to hosts, and feedback capture.
- Build a collaborative relationship with the landlord’s front-of-house and security teams to ensure a coordinated, secure, and polished experience.
- Maintain visibility and situational awareness across the reception and adjacent areas, addressing any concerns or escalations with discretion.
- Provide hands-on coverage at the desk when needed and ensure continuous support for your direct report.
- Support building-wide initiatives such as VIP visits or emergency drills in coordination with facilities and landlord partners.
- Ensure all guest-facing spaces meet the highest standards of cleanliness, order, and presentation at all times.
Operational and Administrative Support
- Manage and optimise meeting room bookings, room readiness, and associated service delivery.
- Oversee the internal events planner, ensuring timely rollout and smooth execution of employee engagement initiatives.
- Handle incoming switchboard calls and general enquiries, maintaining a calm and professional manner at all times.
- Act as a key contact for general employee queries and contribute to onboarding support for new starters.
H&S and Compliance
- Act as Fire Marshal for the client space and liaise with Health & Safety for compliance with emergency and evacuation protocols.
- Maintain operational readiness and dual proficiency across visitor systems and front-of-house processes, ensuring continuity during absences.
About You:
- Experience in a corporate, insurance, or hospitality front-of-house environment, ideally in a team lead capacity.
- Polished, confident communicator with exceptional interpersonal and customer service skills.
- Highly organised and detail-oriented, with the ability to manage multiple responsibilities calmly under pressure.
- Approachable, proactive, and passionate about delivering great guest and employee experiences.
- Strong tech skills, including experience with Visitor Management Systems and switchboard software.
- A collaborative team player with a keen understanding of front-of-house excellence and confidentiality.
