Role Purpose
The Operations Support Assistant is responsible for supporting the day-to-day execution of operational support activities, ensuring that stock, materials, equipment, and logistics processes run efficiently and reliably.
The role exists to:
· support operational readiness across all service and installation activities
· support stock handling, goods movement, and stores activity
· prepare job kits and materials for engineers
· assist with returns, faulty equipment, and supplier logistics
· support fleet and equipment coordination activities
· complete physical and interrupt-driven operational tasks
· support data entry and processing within operational systems (including CASH)
This role enables delivery through readiness and support; it does not own workflow or delivery execution.
This role supports operational execution and logistics and does not control the function or manage workflow.
Salary & Benefits
Salary: £26,436.80 per year
Holidays: 22 days plus all UK statutory Bank Holidays (increases with time served)

Working Arrangements
Location: Office-based (Stores / Warehouse environment)
Hours: 40 hours per week (7.30am – 4pm with a 30minute unpaid break for lunch)
Travel: Not typically required
Primary Outcomes (12-Month View)
After 12 months, the following must be true:
· Stock is accurately managed, received, and issued without errors
· Job kits are consistently prepared and available ahead of engineer attendance
· Goods in / goods out processes run smoothly and reliably
· Returns and faulty equipment are processed efficiently
· Fleet and equipment support activities are handled without disruption
· Interrupt-driven operational tasks are absorbed without impacting engineers or managers
· CASH job costing inputs are processed accurately and on time
· The Operations Support function operates efficiently at a practical level
Key Responsibilities
1. Stores & Stock Handling
· Receive and check incoming goods
· Process goods in / goods out transactions
· Issue stock and materials to engineers
· Maintain stock organisation within the warehouse
· Support stock counting and stock take activities
2. Job Kit Preparation
· Prepare job kits based on scheduled work
· Ensure all required materials are included
· Support readiness of jobs before dispatch
· Highlight missing or unavailable items
3. Returns & Fault Handling
· Process faulty or returned equipment
· Support supplier returns and credits
· Ensure items are logged, tracked, and moved correctly
4. Fleet & Equipment Support
· Support vehicle movements, drop-offs, and collections
· Assist with fleet preparation and availability
· Support plant and equipment handling as required
5. General Logistics Support
· Support deliveries and collections
· Assist with clothing, materials, and general site logistics
· Support waste and environmental processes
6. Costing & Administrative Support
· Process estimator make-up spreadsheets into CASH
· Ensure accurate entry of job costing data
· Support data accuracy across systems
7. Reactive & Interrupt-Driven Support
· Respond to ad-hoc operational requests
· Support urgent material or logistics requirements
· Assist engineers and teams as required
Acts as the absorber of operational interruption and physical workload.
Decision Authority & Escalation
This role decides independently:
· prioritisation of immediate operational tasks (within guidance)
· handling of routine stock, logistics, and support activities
This role follows direction from:
· Operations Support Lead
· agreed processes and priorities
This role escalates:
· stock shortages or errors
· missing materials for jobs
· issues with deliveries, returns, or faulty equipment
· constraints impacting job preparation
Key Interfaces
Works closely with:
· Operations Support Lead
· Customer Support Coordinators
· Engineers and Install teams
· Suppliers (for deliveries and returns)
Provides support to:
· Engineers
· Operations Support function
· Customer Support Desk (indirectly)
Measures of Success
· Stock is handled accurately and efficiently
· Job kits are prepared correctly and on time
· No delays caused by missing or incorrect materials
· Goods in / goods out processes run reliably
· Returns and faulty equipment are processed promptly
· Interrupt-driven work is handled without impacting others
· CASH costing data is accurate and complete
· Warehouse and logistics activities are well organised
Role Constraints
· No responsibility for procurement strategy or supplier management
· No ownership of operational planning or coordination
· No responsibility for customer communication or workflow
· Must operate within direction set by Operations Support Lead
· Does not control the function, executes within it
Technical Qualifications & Experience
1. Essential Qualifications
· Experience in a warehouse, logistics, or operational support environment (or similar)
· Experience handling stock, materials, or physical operational tasks
2. Systems & Technical Experience
· Basic experience using systems for stock, job, or data entry
· Ability to work with digital processes and job systems
3. Experience & Capability
· Strong organisational and practical working skills
· Comfortable with physical and administrative tasks
· Ability to manage multiple tasks and respond to interruptions
· Good attention to detail
· Reliable and consistent approach to work
4. Academic / Foundational Requirements
· GCSE (or equivalent) in Mathematics and English, or demonstrable equivalent level
5. Desirable
· Experience in engineering, trades, or service environments
· Exposure to stock control or warehouse systems
· Experience with job costing or systems (e.g. CASH)
