Alloyed is seeking an experienced and motivated individual to join its growing team as full-time Business Support Assistant. You will work alongside the existing Office Management Team.
Your duties will require you to regularly work in sites located in both Abingdon with additional support to other sites when needed (Yarnton and Harwell). A highly competitive remuneration package is offered.
Liaise with part-time Office Manager(s) on a regular basis to ensure any overlapping tasks are covered.
Assisting with booking meeting rooms for internal meetings.
Assisting with client visits – booking meeting rooms, setting up catering, booking lunch with external catering company, reserving parking, arranging transport, and dinner as required.
Answering the door when required and signing in visitors.
Allocating fobs and keys to new starters and making sure they are logged.
Co-ordinating with Broadsword security in relation to alarm and fob systems.
Reporting maintenance issues and ensuring they are resolved as quickly as possible.
Drafting and maintaining process and procedure documents on Confluence.
Travel – Making sure employees are getting the correct level of support from our external travel company within suggested time frames and in line with agreed budgets.
IT – Reporting any issues with the meeting room AV, desk equipment. Directing individuals to our external support company.
Merchandise – co-ordinating merchandise requests.
Supporting organisation and running of all-company events.
Assisting with onsite all company training/knowledge management events – room bookings and equipment set up.
Monitoring and responding to messages and voicemails that are received in the Contact mailbox.
Ad hoc projects including new office set ups, co-ordinating with builders, electricians etc.
Courier – booking collections and packaging as required.
Assist in keeping the office, kitchen, meeting rooms tidy and liaise with cleaners.
General admin – letters, printing, scanning and post. Keeping check of stock and ordering office/stationery supplies as needed. Making sure there is milk available daily and the kitchen supplies are stocked up.
Allocate lockers where required, set up and record codes. Ensure lockers are emptied if people leave or move site.
Empty bins where required, wash tea towels/towels.
At least 2 years of relevant experience in a similar role
Good written and verbal communication skills
High attention to detail and strong organisational skills
Excellent communication and influencing skills
Proficient IT skills including Microsoft Office products
Ability to work as part of a growing team
Adaptable to change
UK driving licence
