Project Administrator

As SOCOTEC grows, so do our teams. We’re looking for a dedicated Project Administrator to join our Environment and Safety division and wear the SOCOTEC badge with pride.
We are seeking a proactive, reliable, and flexible Project Administrator to join our Environment & Safety team. This role is responsible for providing effective project administration to meet the needs of the business, supporting the successful delivery of Fire Safety services to our clients, and contributing proactively to the growth and development of both the department and the company.
In this role, you will need the confidence to work independently while also collaborating effectively as part of a wider team.
The tasks you will undertake will include (but are not limited to):

To receive work from client and set it up on the information management system

Provide effective and efficient administrative support to the business unit.

Maintain project trackers and input data accurately

Uploading and downloading information from client systems

Monitoring and maintaining KPI’s, escalating issues should they arise

Scheduling and forward planning of site visits to ensure cost effective programming

Allocating work to the project team
-
Attending client meetings alongside project/technical lead for training, note taking and assistance purposes

Process reports for timely submission to our clients

Ensure all Purchase Orders and Work Orders are in place

Raise invoices against work undertaken and agreed scope/fees

Handle invoicing queries as they may arise

Dealing with client and consultant queries and re-direct as appropriate

To keep project documentation and other reports up to date as required including on the company database system

Respond to requests for information in a timely manner

To deal with customers courteously and efficiently in a way that reinforces and harmonises the company and client relationships

Maintain a positive team environment to promote the overall interests of the company without regard to sectional or divisional boundaries

Comply with health and safety regulations

To operate within SOCOTEC UK Limited terms, conditions, and procedures

To undertake other duties, within the competence of the post holder, as may be reasonably required from time to time
Qualifications
To be a successful Project Administrator, you should be able to demonstrate:

Excellent communication skills

Demonstrate excellent work ethic and contributes to a positive culture

Intermediate level in MS Office and business management software (e.g., CRM, ERP) Analytical mindset with strategic problem-solving skills
