Purpose: Pegasus Supported Housing Limited provides shared supported housing solutions in line with housing related support which promotes independence, safety and security within the houses. We empower our Service Users to take positive action to promote their wellbeing and achieve optimum independence within their daily lives, while preparing to achieve tenancy sustainment in preparation for their own homes.
Purpose of the Role
Based at our office, the Administration Officer plays a key role in ensuring the smooth and efficient running of our referral and housing allocation processes. You will be responsible for managing incoming referrals, supporting effective placements, liaising with external partners, and maintaining accurate records and reports for senior management. You will thrive in a fast-paced environment and bring energy, organisation, and a commitment to making a real difference to people’s lives.
Key Responsibilities
- Manage the day-to-day administration of referrals and allocations, ensuring all information is accurately recorded and updated on internal systems.
- Work in a fast paced manner with integrity to move from receipt of a referral to housing a vulnerable adult within 24 hours.
- Complete initial risk and needs assessments using motivational interviewing techniques to support appropriate housing placements.
- Work closely with the Property Services Team to coordinate timely sign-ups and move-ins.
- Ensure void turnaround times are minimised, with rooms filled within organisational KPIs and made ready within 72 hours through appropriate maintenance and cleaning coordination.
- Maintain effective communication with external agencies to collect risk information and develop strong referral pathways.
- Identify and build new partnerships with statutory services, charities, and other organisations to support referral generation.
- Provide daily and weekly data reports to senior management, including service performance updates and occupancy status.
- Support administrative functions across the service including diary management, staff training audits, record keeping, letter writing, and general office coordination.
- Contribute to continuous improvement by identifying ways to streamline administrative processes and enhance service delivery.
Location base: 95 Hagley Road, Birmingham (Mon-Fri, 4 Hours)
Salary: £13,218.40 per annum (pro-rata for part-time)
Hours: (20 Hours) Monday – Friday, part time hours 12pm - 4pm OR 1pm - 5pm
What We’re Looking For
Essential Criteria:
- Drivers licence and willingness to drive personal or company car
- Experience with referrals
- Experience in risk assessing
- Experience in supported housing
- Confident and accurate in assessing risk and need
- Strong administrative and organisational skills
- Excellent communication and interpersonal abilities
- Proficient in Microsoft Office, particularly Excel
- Comfortable navigating internal systems and task management tools
- Detail-oriented with a commitment to high standards
- Positive, proactive, and values-driven with the ability to work under pressure
Desirable (but not essential):
- Experience working in supported housing or recruitment setting
- Familiarity with housing management systems
- Previous experience in referral coordination or allocations
