We are seeking a highly organised, proactive and customer-focused Hire Desk Lead to join our growing team based in Great Dunmow, Essex.

As Hire Desk Lead, you will play a key role in the running of the hire desk, coordinating equipment hire and supporting the day-to-day running of the depot. You will work closely with customers, the workshop, drivers and depot management to ensure equipment is available, deliveries and collections run smoothly, and a consistently high level of customer service is maintained.
Key Responsibilities
- Manage the day-to-day operation of the hire desk, ensuring effective coordination between the office, workshop and transport functions.
- Handle incoming telephone calls, emails and customer enquiries professionally, providing quotations and responding to queries promptly.
- Coordinate the scheduling, dispatch, delivery and collection of equipment to ensure customer requirements are met efficiently and on time.
- Maintain accurate hire records, customer information, equipment availability and inventory data.
- Build and maintain strong working relationships with customers, suppliers and colleagues, helping to deliver excellent service and encourage repeat business.
- Liaise closely with the workshop to ensure equipment is serviced, maintained and ready for hire when required.
- Support drivers with day-to-day operational and logistical queries, helping to resolve issues quickly and effectively.
- Work collaboratively with the Workshop Foreman to maximise fleet utilisation and equipment availability.
- Support the Depot Manager with health and safety compliance, audits and continuous improvement initiatives.
- Assist with month-end administration, including customer invoicing, statements and account reconciliation.
- Process purchase orders and supplier invoices accurately and efficiently.
- Carry out general administrative duties as required to support the smooth running of the depot.
Skills & Experience
- Previous experience in office administration, hire desk coordination or a customer service environment. Experience within plant hire, tool hire or equipment rental would be advantageous, but is not essential.
- Experience using hire management software such as InspHire or Syrinx would be beneficial.
- Excellent organisational skills with the ability to prioritise and manage multiple tasks effectively.
- Strong written and verbal communication skills, with a professional and confident approach to customers.
- Good working knowledge of Microsoft Office, particularly Word and Excel.
- A proactive, positive and customer-focused approach, with strong problem-solving skills.
- The ability to work independently, use initiative and contribute effectively as part of a team.
- A strong attention to detail and commitment to maintaining accurate records and administration.
