Work hours: 3 days a week usually Monday to Wednesday with some flexibility around the days worked to accommodate business needs
8.30-17.00 with 1/2 hour unpaid break

Summary:
We are a Consultant-led Care Quality Commission regulated Dermatology and Plastic Surgery day case, outpatient and diagnostic centre, located just outside of Swindon in Wiltshire.
This is a CQC registered Day Surgery Unit and Clinic Facility providing a wide range of treatments and local anaesthetic procedures, encompassing both Private & NHS patients. Initially the service will operate to provide a skin cancer diagnostic and treatment service to both private and NHS patients with likely expansion in the future.

Main Duties and Responsibilities
The Dermatology Co-ordinator will be responsible for the administration of our dermatology service. You will need to be able to work in a calm, logical and methodical way and be able to multi-task whilst dealing with frequent tasks that pop up as in any busy patient facing environment. Possessing effective communication skills whilst always maintaining patient confidentiality, you’ll start the patient on their journey with us ensuring they have everything they need and all their questions answered before they arrive. You must be confident, diplomatic and able to work in a busy environment with a pleasant and caring disposition. You are required to use the Patient Administration System, E-Referrals and Microsoft Office. Process dermatology referrals received from the Electronic Referral Service to ensure suitability for our dermatology service.
· Assist with incoming dermatology enquiries and/or appointments.
· Contact patients to offer and arrange dermatology appointments, reviews and follow-ups.
· Adhere to booking procedures, ensuring all required advice and guidance is provided prior to the appointment date and all questions are answered to support a seamless service.
· Dermatology appointment reminders via email/text/phone call as required.
· Oversee patient attendance for their dermatology appointments and managing our ‘Did Not Attend’ processes.
· Full and proper use of our systems including the recording of reportable data to commissioners
· Responsible for the provision of a comprehensive day to day booking & scheduling service for patients referred.
· Develop and maintain effective communication skills to ensure a high-quality service is provided when liaising with patients, GP’s and all other internal and external contacts to ensure patient’s appointments are made appropriately.
· Clinic administrative support for medical professionals (IT and paper based).
· Support clinical staff in the delivery of patient appointments.
· To be responsible for ensuring that new patient clinics are booked to their maximum capacity to manage patient wait times.
· Ensure all appointments are scheduled within 18 weeks of referral date.
· Following up on test requests and ensuring results are logged back ready for any review appointments e.g. blood tests.
· Ensuring any task or clinical requests are followed up and organised.
· Managing pregnancy test results for patients under Isotretinoin medical programmes.
· Adhere to Cotswold Surgical Partners’ safeguarding policies and procedures.
· The post holder works within well-defined boundaries, using initiative to make planning decisions as required. They will have access to the Practice Manager at all times.
· Provide cross-cover at times of annual leave and unforeseen absence to help plastic surgery co-ordinators.
· Provide administrative and reception support at times of organisation need.
Person Specification:
Attention to detail and accuracy including close and continual monitoring and checking of processes and work tasks.
Work planning and management including scheduling and prioritising work tasks to meet strict deadlines.
Efficient data collection, review and management plus excellent data entry skills.
Able to identify problems quickly and accurately and implement workable solutions.
Strict adherence to confidentiality regulations and ethical standards.
The ability to communicate effectively with other employees and stakeholders.
Essential
- Must have administration and clerical experience.
- Experience in a similar role.
- Excellent communication and customer service skills, particularly by telephone as most appointment confirmation is completed in this way.
- NHS experience – desirable. Knowledge of NHS systems – desirable.
- Satisfactory DBS/criminal convictions check.
- Ability to prioritise own work load.
