As part of the Student and Programme Services team, the Programme Administration Officer’s primary function is to co-ordinate the administration of all aspects supporting the student academic cycle including induction, enrolment, attendance, assessment and retention activities.
The postholder will also liaise with MLA College partners, including any validating partner(s), and provide the first point of contact for any programmes delivered via transnational education (TNE). This role provides high level customer service to students and staff, ensures academic programmes are administered in line with the relevant academic regulations and processes, and that all relevant activities are completed within institutional deadlines.
The post holder will take a cross-collaborative approach to liaising with academic and administrative colleagues to provide a consistent and responsive customer service to students, academic staff and external stakeholders and partners. They will also work closely with the Head of Student and Programme Services and the Student Data and Systems Officer to prepare academic quality and standards reports and data for annual programme review cycles, and quality and standards monitoring.
Overall, the Programme Administration Officer plays a crucial role in supporting the successful delivery of academic programmes and ensures a positive experience for students and staff.
Key Responsibilities:
- Liaising with stakeholders: including students, academic staff, external partners, and regulatory bodies, to ensure effective communication and collaboration in support of educational programs.
- Handling student enquiries: provide excellent customer service, handling enquiries relating to academic programmes, maintaining an in-depth knowledge of Academic Regulations and offering advice and guidance to students and staff.
- Compliance with regulations: ensure that educational processes comply with relevant regulations and policies, such as accreditation standards and data protection laws.
- Managing student records and data: maintain accurate student records, including enrolment, attendance, grades, and graduation requirements.
- Supporting program development: support the programme validation processes for new programmes and assist with co-ordinating annual programme review processes for existing programmes.
- Academic Regulations: develop an in-depth knowledge of MLA College and any validating partner(s) academic regulations, policies and procedures, and provide pro-active management of programme processes.
- Provide administrative support: provide support as and when appropriate to pre-registration activities across admissions and recruitment teams.
- Proactive management of processes: manage enrolment, induction, assessment, and retention activities, and work closely with the Student Experience Team as and when needed, providing support to student experience and engagement activities.
- Support assessment activities: liaise with academics and key stakeholders i.e. external examiners and collaborative partners when applicable to organise and service Assessment Boards.
- College Committees: service department meetings as required, including but not limited to, booking rooms, arranging catering, compiling agendas, generating and circulating papers, and taking minutes.
- Continuous improvement: work to continuously improve processes and systems to enhance the overall effectiveness and efficiency of academic programs and student support services.
- You will be required to work across the Student and Programme Services team and other business areas from time to time, commensurate with your role and level of current responsibility, to support the delivery of high-quality administrative processes throughout the College.
Qualifications
Educated to degree level or equivalent experience
Knowledge and Skills
- Knowledge of higher education policies and procedures is desirable: an understanding of the processes governing higher education institutions, as well as guidelines related to programme administration, is beneficial to this role.
- Knowledge of the academic cycle: an understanding of the student-related academic cycle and administrative processes within a Higher Education/Further Education/Private Training Provider setting is desirable.
- Communication skills: Good written and verbal communication skills are essential in order to effectively communicate with students, faculty, staff, and other stakeholders.
- Organisational and attention to detail: excellent organisational skills and able to manage multiple tasks and deadlines simultaneously, as well as a high level of accuracy and attention to detail to ensure records are maintained correctly.
- IT skills: proficiency in using a range of IT systems and software, such as student information systems, databases, and Microsoft Office applications.
- Problem-solving skills: ability to identify and resolve issues that arise in the administration of programmes and recommend solutions to ensure smooth operation.
- Autonomous and team working: be able to work independently on tasks, but also collaborate effectively with colleagues to achieve common goals.
Experience
- Previous administrative experience gained within a similar role, preferably within a Higher Education/Further Education/Private Training Provider setting is desirable.
- Experience of working effectively and proactively across teams, offering mutual support and collaboration.
- Demonstration of excellent communication in a customer facing or student facing role providing advice and guidance, as the role involves interacting with students, faculty, staff, and external stakeholders.
- Experience of minute taking and servicing of Board/Committee meetings.
- Knowledge of dealing with students data in accordance with the Data Protection Act.
