As we continue our mission to make people and nature happy through chocolate, we’re looking for a Wholesale Order Administrator to join our Supply Planning team on a permanent basis.
We are looking for a highly organised and analytical Wholesale Order Administrator to support our outbound supply and channel functions. This role plays a key part in maximising profitability by ensuring efficient stock and order management, identifying sales opportunities, and helping to minimise markdown risk.
You will work closely with multiple teams across the business to ensure accurate reporting, smooth order processes, and timely product availability across channels.

Here at Hotel Chocolat, we've adopted hybrid working. This means you’ll join us on site for three days a week, and for the other two days – you can work from wherever you like! The on-site location for this role is our support office, ‘Mint House’, in Royston, Hertfordshire. Our home from the very beginning, it’s just off the A505 and 10 minutes’ walk from Royston train station, with direct rail links to London King’s Cross.
What you’ll be doing….

Collate and produce weekly sales, dispatch, stock, order, and KPI reports, ensuring accuracy and timely distribution to the team

Partner with fulfilment teams to ensure goods are correctly reprocessed and packed to meet channel and territory requirements

Raise orders on time and maintain accurate updates across relevant systems and documentation

Communicate order status clearly, highlighting any risks or delays

Work closely with the Wholesale Order Manager and Channel Forecast Manager to manage changes in demand schedules at SKU and category level, escalating to merchandising where required

Liaise with DC teams to ensure stock is shipped on time and in full, escalating issues where necessary

Support the team with ad-hoc analysis and insights to aid decision-making

Build strong working relationships with channel teams and stakeholders

Assist in reviewing forecast vs dispatch performance throughout the trading season

Monitor and report on available channel stock, flagging any BBE or SKU concerns
Who you are…

Experience working within a Buying & Merchandising (B&M) environment is advantageous

Strong Excel skills, including pivot tables and VLOOKUPs

Highly numerate with strong analytical ability

Confident in interpreting data and presenting insights clearly

Excellent organisational skills with the ability to prioritise effectively

Strong communicator, able to build relationships across teams

Good understanding of the Hotel Chocolat range and target customer

Awareness of competitors and high street retail activity is desirable
