Job Overview
We are seeking a highly organised and proactive Office Administrator to join our team at Coplestons Accountants. This role is central to our day-to-day office operations, supporting both clients and the wider team. The successful candidate will manage new client onboarding, handle client communications, oversee invoicing and debt chasing, and provide light bookkeeping support where required. This position offers an excellent opportunity to develop administrative and financial skills within a professional accountancy environment.
This part-time role would suit someone living within easy commuting distance of our office, looking for consistent part-time hours.
Responsibilities
- Onboard new clients and manage initial client setup
- Handle incoming phone calls and post
- Manage and track ongoing jobs and workflow across the team
- Chase clients for outstanding information and documents
- Issue client invoices and follow up on outstanding payments
- Liaise with clients to resolve account queries and discrepancies
- Maintain accurate records and support general office administration, including filing and correspondence
- Assist with light bookkeeping duties as required (training can be provided)
Experience & Skills
- Previous experience in an administrative or office-based role is preferred
- Familiarity with accounting software (e.g. QuickBooks, Sage, or Xero) is a plus but not essential
- Basic understanding of invoicing or bookkeeping principles is helpful
- Strong organisational skills with the ability to prioritise tasks effectively
- Excellent attention to detail and accuracy
- Confident communicator, both on the phone and in writing
- Able to work independently as well as part of a team
