We are now seeking an experienced and proactive Senior Planner/Scheduler to join our team and take ownership of planning and scheduling both reactive and planned maintenance works across a diverse housing portfolio. You’ll play a key role in managing engineer workload, ensuring compliance with SLAs, and delivering an exceptional customer experience—particularly to our clients in the housing association sector.
Key Responsibilities:
As Senior Planner/Scheduler, you will:
- Manage daily scheduling of reactive and planned maintenance works across various addresses.
- Prioritise jobs based on urgency, location, resource availability, and client expectations.
- Allocate work to engineers and subcontractors, maximising efficiency through route and workload planning.
- Liaise with internal departments, field engineers, subcontractors, and client stakeholders to ensure smooth delivery.
- Track job progress, ensuring updates are logged in real-time in relevant systems (CAFM/CRM).
- Respond promptly to incoming enquiries from clients and residents via phone and email.
- Maintain exceptional customer service and communication, ensuring expectations are set and managed throughout the job lifecycle.
- Generate reports on KPIs, completion rates, open jobs, and performance metrics.
- Manage job closures, including engineer job sheets, client databases, and costings.
- Lead and mentor junior planners and support administrative team members.
- Coordinate emergency works and high-priority responses, ensuring fast, effective scheduling.
- Attend client meetings and prepare accurate minutes and follow-up actions.
- Handle customer complaints with professionalism and urgency.
- Raise and manage purchase orders for materials, ensuring jobs can be completed without delay.

Essential Skills & Experience:
- 3+ years’ experience in planning/scheduling within reactive maintenance, construction, or FM.
- Senior Management experience and Director reporting
- Strong telephone manner, able to manage multiple incoming contacts professionally.
- Proficient in using scheduling and CRM systems.
- Excellent organisational and time management skills with strong attention to detail.
- Proficient in Microsoft Excel, including spreadsheet management and formulas.
- Experience coordinating engineers and subcontractors across multiple sites.
- Confident handling complaints and communicating with a wide range of stakeholders.
- Able to work under pressure, prioritise workload, and use initiative effectively.

Pay: £27,000.00-£35,000.00 per year
